Position Overview

We are seeking a dedicated Project Coordinator to become a vital part of our organization. This role involves overseeing all facets of Intermission's initiatives, including internal productions and community outreach.

ABOUT INTERMISSION YOUTH (IY)

Intermission Youth is committed to transforming the lives of young individuals by empowering them to make constructive choices and achieve their full potential. Through the mediums of drama, theatre, and film, we engage with youth aged 11 to 30, primarily from diverse backgrounds in Greater London.

As a small, dynamic, and ambitious charity, Intermission Youth fosters a supportive and industrious environment, working on a variety of theatrical, cinematic, and community projects.

Key Responsibilities

Production Management

· Organize and coordinate rehearsals, technical run-throughs, and performances in collaboration with the Artistic Director, Production Manager, and General Manager, while negotiating venue agreements and scheduling.

· Assist in the casting and recruitment of the creative team alongside the Director.

· Conduct availability checks for actors, designers, and production staff.

· Negotiate and draft agreements with actors, designers, agents, and production personnel.

· Develop and maintain production budgets in conjunction with the Production Manager and General Manager.

· Oversee music rights for productions and liaise with relevant organizations.

· Serve as the primary contact for the Production Manager.

· Attend all production meetings.

· Create and distribute production information packets to potential presenters.

· Facilitate communication between departments for daily operations, ensuring smooth collaboration between the theatre, office, and outreach activities.

· Collaborate with the Finance team to manage Theatre Tax Relief.

· Research rights and agreements as necessary.

· Stay informed about current production practices.

· Keep updated on Health & Safety policies, Safeguarding, Child Protection Standards, and Environmental Practices.

· Plan and develop a national schools tour for future years.

Marketing Coordination

· Manage Press Nights in collaboration with Marketing and Press representatives.

· Oversee House Seats and complimentary tickets with the Box Office and Stage Manager as needed.

· Participate in marketing and press meetings.

Community Engagement

· Collaborate with the Artistic Director and Youth Facilitator to identify opportunities for community involvement.

· Supervise the development and execution of community engagement events.

Strategic Development

· Work alongside the Artistic Director and General Manager on annual and long-term strategic planning.

· Collaborate with the IY team and local community to maintain and develop strategic partnerships.

· Create and implement thorough documentation and evaluation processes for each project, along with financial reports for relevant partners and funding bodies.

General Duties

· Attend and contribute to programming meetings and review scripts under consideration.

· Seek out, liaise with, and negotiate with visiting companies.

· Manage national and international tours of varying scales and support the commercial transfer of the organization's work across all media as required.

· Attend read-throughs, sharings, previews, and supporter events.

· Participate in regular company and operations meetings.

· Actively promote and implement environmentally sustainable practices.

· Strive to maximize income while minimizing expenses wherever feasible.

Candidate Profile

Essential Qualifications

· Minimum of 2 years of experience in theatre administration and production within a producing organization or venue.

· Knowledge and experience in touring theatre (locally and nationally) and scheduling.

· Strong negotiation skills.

· Experience in casting.

· Highly developed verbal and written communication abilities.

· Capacity to work under pressure while adhering to schedules and budgets.

· Exceptional attention to detail, methodical approach, and creative problem-solving skills.

· Experience in negotiating and drafting contracts.

· Understanding of theatre union agreements.

· Strong financial acumen, including budget management.

· Interest in the social, cultural, and financial context in which IY operates.

· Genuine commitment to promoting cultural diversity and accessibility across all areas of IY.

· Familiarity with current theatre practices.

· Ability to work collaboratively and independently.

· Some experience in marketing.

· Understanding of the arts funding landscape.

Desirable Attributes

· Experience with international touring.

· Extensive and diverse contacts within the theatre sector.

· Awareness of the cultural landscape relevant to our organization and knowledge of available funding streams for our work.
