Doufre Construction is seeking an experienced Office Administrator to manage the essential functions of our office environment.

Key Responsibilities:

  • Oversee and optimize the filing systems to ensure effective document management.
  • Accurately track and report on office expenditures.
  • Safeguard project documentation by archiving contracts in line with organizational protocols.
  • Uphold internal and external audit standards, emphasizing safety and operational best practices.
  • Coordinate and supervise external service providers, including:
    • Cleaning services
    • Window maintenance
    • Recycling initiatives
    • Waste management solutions
    • HVAC and boiler services
    • Copying and printing services
    • Security alarm systems
  • Manage incoming calls and inquiries with professionalism and courtesy.
  • Provide administrative support during staff absences.
  • Ensure compliance with the Fleet Operator Recognition Scheme (FORS).
  • Assist in the preparation and follow-up of tender submissions.
  • Document and communicate weekly operational metrics.
  • Ensure adherence to relevant compliance requirements.
  • Carry out additional duties as necessary to support office operations.

Knowledge, Qualifications, and Experience:

  • Proficient in a variety of office software, including email, Microsoft Office Suite, spreadsheets, and internal databases.
  • Demonstrated adaptability, attention to detail, and strong organizational skills.
  • General computer proficiency.
  • Prior experience in administrative roles is essential.
