Job Summary

We are seeking a highly skilled Senior Document Management Specialist to join our team at Murphy. As a key member of our Document Control team, you will be responsible for implementing, developing, and maintaining our document management systems and processes.

Key Responsibilities

  • Manage the quality control process for documents, ensuring accuracy and compliance with company standards.
  • Assist in the creation and maintenance of distribution lists, workflows, and review cycles.
  • Verify the accuracy of filenames and ensure that electronic files are submitted correctly.
  • Record the reason for change when documents are revised.
  • Collate and issue project and site start-up packs.
  • Manage changes by ensuring documents are processed correctly, made available to the commercial team, and linked to contract documents via our document management system.
  • Collate and issue handover documentation, including operation and maintenance manuals, health and safety files, as-built records, and completion packs.
  • Develop and train document controllers and assistant document controllers.
  • Provide training on our document management system to project staff.
  • Manage the scanning of documents and records, ensuring legibility and traceability.
  • Assist with archiving documents, ensuring legibility and traceability.
  • Undertake audits and reviews as required.
  • Monitor the performance of the Document Control team and identify opportunities for improvement.
  • Stay up-to-date with industry standards and best practices related to document control.

Requirements

  • Working knowledge of document management systems, including ProjectWise, Hummingbird, BIW, and Aconex.
  • Flexible and able to work in a fast-paced environment.
  • Excellent communication and interpersonal skills.
