Job Summary
Murphy is seeking a highly skilled Senior Document Controller to join our team in a key role that requires strong organizational and communication skills. As a Senior Document Controller, you will be responsible for the implementation, development, operation, and collation of all contract documentation and computer records.
Key Responsibilities
- Manage the quality check process for documents, ensuring accuracy and compliance with company standards.
- Assist in the creation and maintenance of distribution lists, workflows, and review cycles to ensure seamless document management.
- Verify the accuracy of filenames before submission of electronic files to prevent errors.
- Record the reason for change when documents are revised to maintain a clear audit trail.
- Collate and issue project/site start-up packs to ensure timely and accurate delivery.
- Manage the processing of changes to ensure documents are updated correctly and made available to the commercial team.
- Collate and issue handover documentation (O&M manuals, H&S files, as-built records, databooks, completion packs, etc.) to ensure a smooth transition.
- Develop and train document controllers and assistant document controllers to ensure a high level of competence.
- Provide Aconex training to all project staff within 5 working days of starting to ensure effective use of the system.
- Manage the site scanning of documents and records to ensure legibility and traceability.
- Assist with archiving of documents to ensure electronic storage and compliance with company standards.
- Undertake audits/reviews as required to ensure compliance with company standards.
- Monitor the workload and workflows to ensure efficiency and report results to the Document Control Manager.
- Stay up-to-date with industry standards (BS1192 & PAS1192) to ensure compliance and best practice.
Requirements
- Working knowledge of Document Management Systems such as ProjectWise, Hummingbird, BIW, and Aconex.
- Flexible and can-do attitude with a willingness to learn and adapt.
- Confident communication skills to build relationships with diverse stakeholders.
