As a Bid Associate, you will be responsible for the administration and production of contract variations and quotations within Diagnostic Imaging (DI).

You will serve as the central point of contact for information relating to contract variations for customers and internal stakeholders, including account managers, operations, and procurement teams.

Support Bid Managers, specifically the Bid Manager for Diagnostic Imaging, in the production of content for bids and quotes for new business and renewal of contracts, framework mini-competition quotes, pre-tender sales proposals, and contract extensions/renewals.

Ensure quality system processes and procedures are in place and followed.

Responsible for the update and accuracy of data relating to their projects and activities in the Customer Relationship Management (CRM) system.

Work alongside DI Bid Manager and Senior Bid Manager to update processes and templates.

Support the Business Development team specialists within other departments and Business Lines as and when required.

Ensure all Business Development opportunities identified through procurement portals are escalated to the appropriate team member for consideration.

Manage shared mailboxes within the Business Development team, sharing communications to the team as required to support bids and opportunities management.

Develop and maintain strong relationships with framework organisations and customers as required.

Interface with and provide support to Business Development team members, including the Head of Diagnostic Imaging, Operations Manager, Account Managers, Transformation Team, Bid Team, and others for strategic projects, bid and tendering projects, Managed Equipment Service (MES) contracts, and other associated services.

Act up to support Bid Manager and Senior Bid Manager as required.

Coordinate external communications in the manner determined by customers, including face-to-face meetings and site visits where required.

Support the coordination of technical, commercial, legal, and operational material for bids, quotes, and sales proposals, including variations and NHS Supply Chain quotes.

Support the production of business development documentation, including expressions of interest, pre-qualification questionnaires, quotes, and proposals, public sector comparators, and business cases.

Manage centralised business development mailbox and review FTS (formerly OJEU) notices and other web portals, identifying potential opportunities for consideration by the business development team.

Manage the DI MVS Variations mailbox and the NHS Supply Chain Inbox specifically for Diagnostic Imaging.

Assist the Bid Manager and Senior Bid Manager with the preparation of Remarketing Quotes.

Ensure all variation templates are updated annually.

Work alongside the Bid Manager, Senior Bid Manager, and Finance to retrieve outstanding purchase orders.

Assist Bid Managers and Marketing to create marketing packs for new and existing DI customers.

Support bid strategy and project team meetings, ensuring appropriate attendance from relevant stakeholders, and ensure actions are identified, followed up, and progress tracked.

Support system administration for the CRM system, ensuring that all users complete information in a timely and accurate manner.

Perform any other duties as requested by the Head of Diagnostic Imaging.

Ensure all business development documentation adheres to editing and formatting standards.

Support the Head of Diagnostic Imaging, Operations Manager, and other members of the business development team as appropriate.

Ensure processes and procedures relating to the duties you carry out are kept up-to-date and shared with the team and relevant stakeholders as appropriate.

Qualifications: Degree calibre.

Desirable: Project Management courses or similar.

Skills and Experience: Knowledge of medical services industry, attention to detail, strong team working skills, highly organised and self-motivated, excellent written and verbal communication, ability to work successfully in a multi-disciplinary and often virtual environment, excellent interpersonal skills, proficient - expert in MS office tools, database management experience.

Languages: English.
