Job Title: Operations Coordinator

Job Summary:

Office Angels is seeking a highly organized and detail-oriented Operations Coordinator to join our team. As an Operations Coordinator, you will play a critical role in supporting the day-to-day operations of our office, ensuring seamless communication and collaboration with our clients and internal teams.

Key Responsibilities:

  • Customer Experience:
    • Provide exceptional customer service to internal and external clients, responding to inquiries and resolving issues in a timely and professional manner.
    • Assist in answering incoming calls and registering clients on our CRM system.
  • Sales Administration:
    • Work closely with operations teams to provide administrative support, meeting deadlines and ensuring accuracy in all tasks.
    • Create new property activity records, order land registry title checks, and process new instructions.
    • Manage client due diligence process, ensuring compliance with best practices and regulatory requirements.
    • Accurately generate sales invoices, reconcile figures, and prepare reports for meetings.
  • Local Marketing:
    • Develop and implement marketing materials, update property listings, and ensure office compliance with guidelines.
    • Assist with meeting marketing deadlines and adhere to GDPR regulations.
    • Display knowledge of marketing, PR, and social media guidelines.
  • HSE and Information Security:
    • Ensure ISO regulations and clear desk policies are followed.
    • Maintain storage and archive protocols, ensuring confidential files are treated correctly.
  • Operations:
    • Assist with department accounts, monitor management reporting, and maintain performance records.
    • Provide diary management support, coordinate viewing assistant team, and ensure data quality of office systems.
    • Manage office facilities, arrange works/contractors, and maintain office equipment/IT hardware.

Requirements:

  • 2+ years of experience in a similar operations, administration, or secretarial role.
  • Proficient with Microsoft Office packages and CRM systems.
  • Strong attention to detail and diligent work ethic.
  • Experience in the property industry or real estate sector.
  • Knowledge of GDPR regulations and ISO standards.
