We are seeking a proactive and detail-oriented Event Coordinator to join our vibrant team.

Your responsibilities will include overseeing smaller forums, virtual gatherings, and webinars, taking full charge of logistics, budgeting, and supplier coordination to ensure the delivery of exceptional events.

With the support of our Senior Event Manager, you will take charge of various operational elements that facilitate the successful execution of our events.

You will also be responsible for delivering our smaller (150 participants) one-day forums, virtual events, and webinars.

As our Event Coordinator, your duties will include:

  • Overseeing the logistical aspects of events, including speaker coordination, delegate management, venue oversight, and partner (sponsor) relations.
  • Managing the budget for each assigned event, updating estimates, handling purchase orders and invoices, and reporting any budget overruns.
  • Setting up webinars and virtual events on the platform, incorporating content and speakers.
  • Coordinating with venues for live events, providing them with setup, timing, and health & safety information, and collaborating with production companies to create stage designs.
  • Providing briefs to designers for event signage and branding plans, overseeing this process through to final approval.
  • Collecting post-event feedback to share during debrief meetings.
  • Attending our events and assisting the team in delivering an outstanding customer experience throughout. This may require occasional UK travel and overnight stays.

Essential qualifications include:

  • Proven experience in delivering live events in a B2B context.
  • Understanding of financial processes related to invoicing, purchase orders, and payments.
  • Experience in presenting event updates to stakeholders.
  • Assisting in transforming breaking news into healthcare intelligence across editorials and events, enabling our clients to collaborate more effectively with the NHS.
