What This Role Involves

Sales Order Coordination

Acting as the vital link between suppliers and logistics partners, you will be instrumental in ensuring the efficient administrative processing of sales orders that comply with our internal protocols. Reporting directly to the Head of Department, you will oversee the complete order cycle, from the initiation of purchase orders to final invoicing and supplier onboarding. Additionally, you will assist project managers by liaising with logistics partners and ensuring all project specifications are documented for successful delivery and installation.

Key Responsibilities:

Your main responsibilities will encompass:

Initiating purchase orders with suppliers and confirming their acknowledgment. Validating order confirmations from manufacturers for precision and completeness. Collaborating with project managers to collect project details and coordinating with logistics partners for seamless delivery and installation. Finalizing financial closure of orders to guarantee accuracy in billing and payments. Documenting purchase orders and maintaining thorough records. Preparing essential delivery receipts, logistics documentation, and procurement trackers. Providing on-site support for project delivery and installation as necessary to ensure smooth operations. Updating performance statistics and team sales reports to monitor progress. Following up on the validation of purchase orders and supplier invoices as needed. Managing customer invoicing to ensure timely and accurate billing. Onboarding new suppliers and ensuring their adherence to company standards. Demonstrating a willingness to undertake additional tasks or responsibilities as directed by the Head of Department.

Required Skills:

To qualify for this position, the following skills are essential:

Proficient knowledge of Microsoft Office Suite. Strong command of the English language (reading, speaking, and writing). Familiarity with software systems, including Microsoft Office Projects or equivalent. A minimum of 2 years of experience in order management.
