About the Role:

Gowling WLG is seeking a highly organized and detail-oriented HR Coordinator to join our HR Operations team in Birmingham. As an HR Coordinator, you will play a vital role in supporting our wider HR function by providing administrative and policy assistance across the firm, maintaining employee records, coordinating onboarding programs, and contributing to Early Talent initiatives.

Main Responsibilities:

  • Act as the first point of contact for all HR administrative queries, responding to inquiries via our query management system, phone calls, emails, or referrals from team members.
  • Provide administrative support across the wider HR team, including Advisory, Reward, Early Talent, and other areas as required.
  • Deliver HR Operations activities to a high standard, achieving agreed Service Level Agreements (SLAs) and escalating issues to the line manager as necessary.
  • Work collaboratively as part of a team to manage payroll and HR system updates in our people management system, Oracle Cloud, and corresponding change of contract letters/emails.
  • Coordinate the onboarding process for new joiners and the leaver process.
  • Produce standard letters, including training and newly qualified contract offers, references, credit/DBS checking, SRA checks, and renewals.
  • Manage probation communications and oversee 3 and 6-month reviews.
  • Coordinate family leave meetings and requests, including maternity, paternity, adoption, and shared parental leave, as well as starters and returner processes, and necessary paperwork.
  • Perform general administration tasks, including efiling and maintaining employee records.
  • Review high volumes of vacation scheme applications.
  • Support the HR Advisory team in employee relations cases as required.
  • Manage HR policies on the intranet, updating them as necessary with legislative and firm updates.
  • Manage the exit interview process across the firm, conducting face-to-face interviews as required.
  • Contribute to other ad-hoc HR projects and work as necessary.

About You:

We are looking for someone who:

  • Has experience working in a fast-paced environment.
  • Has excellent IT skills, with good knowledge of Word, Excel, and PowerPoint.
  • Has an interest in HR and an understanding of HR administration.
  • Is a team player and takes ownership of their work.
  • Is tenacious in driving work to completion.
  • Can identify changes to processes and systems and think of how to implement them to drive a more efficient service to the firm.
  • Has excellent interpersonal skills.
