Administrative Assistant to Directorate Managers

We are seeking a highly skilled and organized Administrative Assistant to provide comprehensive support to our Directorate Managers within the Medicine Division.
The successful candidate will be responsible for providing an exceptional secretariat and planning function, including diary management, correspondence, and documentation. They will also be responsible for servicing meetings, taking minutes, and ensuring follow-up actions are taken.
The ideal candidate will have excellent communication and relationship skills, with the ability to liaise with external organizations, deal with a wide range of contacts, and maintain confidentiality.
They will also have experience of working as a team member, prioritizing work, and meeting deadlines. A proven track record of taking minutes of meetings and previous NHS experience is essential.
Key Responsibilities- Act as first point of contact for all communications to the Directorate Managers
- Assimilate, manage, and communicate a wide range of information, including sensitive and complex matters
- Provide an administration and secretarial service to Directorate Managers and members of the Senior Management Team
- Liaise with external organizations, deal with a wide range of contacts, and maintain confidentiality
- Take minutes of meetings and ensure follow-up actions are taken
- Good General Academic education to GCSE level
- RSA III or equivalent - typing
- Intermediate knowledge of all Microsoft Packages (Word, Excel, Access, PowerPoint)
- Experience of working as a Personal Assistant at a senior level
- Proven experience of prioritizing work and meeting deadlines
- Experience of taking minutes of meetings
- Previous NHS Experience
- Between 27-33 days of annual leave plus bank holidays
