Personal Assistant to COO of Innovative Climate Venture

This role presents an exceptional opportunity for a highly motivated and intelligent Executive Assistant eager to advance their career. We seek a dedicated and meticulously organized individual who excels in dynamic environments while managing multiple responsibilities. Our client has established a family office dedicated to supporting an ultra-high-net-worth entrepreneur committed to addressing climate change. Consequently, the family office is engaged in investments and the development of enterprises centered around environmental sustainability.
About the Role:
As a start-up environment, the organization is both secure and impactful, with a small yet highly effective team. The COO, who possesses extensive expertise in this sector, is seeking a full-time Executive Assistant to manage her demanding schedule and communications. This role is essential for filtering, prioritizing, and managing emails, as well as maintaining an organized calendar that accommodates frequent changes.
Key Responsibilities:
- Complex calendar management, ensuring optimal scheduling of meetings and effective time utilization.
- Coordinating international travel arrangements, including flights, accommodations, and transfers.
- Managing the COO's inbox, prioritizing important correspondence and responding as necessary.
- Serving as the primary point of contact for the COO, providing support and insight.
- Preparing internal and external reports and documentation as required.
- Fostering and maintaining relationships with key stakeholders, including clients and investment firms.
- Assisting with event logistics, including venue selection, catering, and guest invitations.
- Overseeing expense management and invoice processing.
- Providing travel assistance to other team members and light calendar management for the CIO.
- Supporting business operations and implementing effective administrative systems.
- Assisting with legal documentation and administrative tasks.
Private Assistance Duties:
- Scheduling personal appointments and managing personal travel arrangements.
- Coordinating gift sourcing for personal occasions.
- Managing household responsibilities, including bills and property maintenance.
- Tracking important dates and ensuring timely reminders for personal commitments.
- Maintaining up-to-date records of essential documents.
- Handling miscellaneous errands as needed.
Work Environment:
This position requires flexibility and a willingness to work outside standard hours, reflecting the start-up culture. There is significant potential for increased responsibilities beyond standard EA duties for the right candidate. High performance will be recognized and rewarded. The ideal candidate will possess a minimum of three years of experience in a similar role, preferably within finance or technology sectors, and should be degree-educated with a background in start-ups or scaling businesses. A strong work ethic and pragmatic approach are essential for success in this role.
