Position Overview

The Administrative Operations Manager will oversee the daily management and operational functions of clerical and administrative services within the Mental Health Division, reporting directly to the Business Support Manager.

This role involves managing Health Information Systems and providing analytical statistical data for the Health Board and associated organizations as needed.

The successful candidate will implement changes to optimize the management of the Mental Health & Learning Disabilities Department.

Additionally, the post holder will supervise the administration team across multiple locations and will be required to travel as necessary.

Welsh language proficiency is preferred for this position; applications from both Welsh and English speakers are encouraged.

Key Responsibilities

In collaboration with the Business Support Manager, the post holder will lead the operational management of all administrative, secretarial, and clerical personnel within the division.

Maintain effective communication channels with administrative and clerical staff throughout the Division, ensuring that all pertinent information is shared and implemented effectively.

Oversee the daily performance of administrative and clerical staff, introducing innovative working methods to support the Operational Management Team.

Generate routine and ad hoc reports to assist in monitoring quality indicators and achieving Key Directorate objectives as directed by the Operational Management Team.

Lead specific Task Groups focused on administrative and clerical matters to enhance and refine administrative processes within the Division.

Ensure the efficient and effective utilization of physical and financial resources by administrative and clerical staff within the Division.

Experience Requirements

Essential:

  • Demonstrated experience in staff management
  • Proven experience in managing financial resources
  • Experience in producing written reports

Desirable:

  • Previous experience within the NHS

Qualifications

Essential:

  • GCSE Maths & English Grade C or above
  • Degree-level qualification or equivalent proven experience
  • Proficiency in Microsoft applications

  • Evidence of ongoing Continuing Professional Development (CPD)
