About the Role

We are seeking a highly skilled Workplace Services Manager to join our team at Rockstar Dundee. As a key member of our Workplace Services team, you will be responsible for ensuring the smooth operation of our building and facilities services.

Key Responsibilities
  • Manage the day-to-day operation of the building and its facilities services, ensuring a safe, comfortable, and supportive environment for staff and visitors.
  • Work closely with other Workplace Managers to manage the Workplace Services team, ensuring they carry out their roles professionally and to the required standard.
  • Build and foster relationships with support functions, including administrative functions, to ensure the needs of the office are being met and sustained.
  • Contract management for buildings and facilities services, including procurement process, budget management, contract negotiation, day-to-day operational oversight, and performance management.
  • Manage Workplace Services projects and small works, taking them from identification through to completion, ensuring all deadlines are met and communications to key stakeholders remain detailed and consistent.
  • Ensure full compliance with all legal and statutory requirements, including Health & Safety, COSHH, sustainability legislation, etc.
  • Develop and maintain building and facilities information, particularly operational processes and documents required for safety and compliance.
  • Collaborate with colleagues in Security and Business Protection to ensure that risks, security measures, and issues are being recorded, monitored, and reported.
  • Collaborate with colleagues in Technical Services to ensure compliance, PPM, and standards are met and maintained.
  • Oversee the management of space and desk utilization, ensuring it is used efficiently and effectively and in line with studio requirements.
Requirements
  • Education to degree level or equivalent vocational education and experience.
  • 3+ years' experience successfully managing a multi-discipline Workplace team, displaying effective communication, leadership, coaching, and conflict resolution skills.
  • Experience in overseeing service contracts, including their procurement, performance, and management.
Desirable Skills
  • Excellent understanding of current safety legislation and best practice.
  • A detail-oriented, flexible self-starter with strong initiative, excellent organizational and multitasking skills.
  • Excellent planning and project management skills, with the ability to consider things from multiple angles.
  • Process-driven, but outcome-focused, and always looking for quality improvement and ensuring they are documented accurately.
  • Capable of working autonomously and alongside a wider WPS team, managing, and prioritizing their own workload and understanding when and where to seek guidance and approval.
  • Ability to drive Workplace Services initiatives, plans, and projects forward and maintain excellent working relationships with other stakeholders and local management.
  • Experience in an overlapping business support field, e.g., IT, Administration, Operations.
  • Excellent communication (written and verbal) and creative problem-solving skills.
  • Ability to coach and develop direct reports to work as a team to ensure service meets appropriate goals.
  • Enthusiasm and the ability to create a sense of fun and motivate a team while upholding standards and maintaining discipline.
  • Proficient with Microsoft Office (Outlook, Word, and Excel).
  • Sound numerical skills and IT skills.
