Technical Support Administrator

Hours: 40 hours per week

Key Responsibilities:

  • Overseeing the Facilities Helpdesk communications and documenting requests;
  • Proactively tracking ongoing tasks, including liaising with engineers for status updates and job assignments;
  • Generating purchase orders for engineers and team members as necessary;
  • Assigning Planned Preventative Maintenance (PPM) tasks to engineers;
  • Digitally archiving compliance documents (both in-house and from subcontractors);
  • Evaluating documentation and escalating any concerns to the Technical Site Managers or Compliance Manager;
  • Initiating corrective actions following inspections;
  • Supporting the team in the preparation of quotes as needed;
  • Recording monthly overtime for approval by Line Managers or Account Directors;
  • Ensuring that engineer training records are current;
  • Providing regular updates to the client Health & Safety team;
  • Managing the processing of quotes, invoicing, and expenditure tracking.

Essential Qualifications:

  • Prior administrative experience is advantageous;
  • Experience in a helpdesk environment is preferred;
  • Exemplary administrative capabilities;
  • Proficient IT skills, particularly in Microsoft Office;
  • Exceptional communication skills, both verbal and written, with a strong interpersonal approach;
  • Ability to take initiative and proactively address challenges;
  • Meticulous attention to detail.
