Academic Office Coordinator

We are seeking a highly organized and enthusiastic individual to join our team as an Academic Office Manager. This role is responsible for ensuring the smooth operational running of GIFT Inc.
Key Responsibilities:Database Management:
- Oversee the CRM database, ensuring data is clean and up-to-date on an ongoing basis.
- Develop and implement methods for capturing database information, including iPads and capture cards.
- Produce reports for mail-outs, email newsletters, and donor campaigns.
- Collaborate with the Director of Operations and Chief Technical Officer to evolve the CRM database.
General Administration:
- Run general office administration, including ordering supplies and supporting staff with administrative tasks.
- Support events with general administrative tasks, including planning logistics and sending information.
Website:
- Liaise with the web designer to ensure new pages, features, and changes to the home page are made.
Staff Management & HR:
- Implement the leave system for accurate records of staff leave.
- Ensure DBS checks are completed for relevant staff.
- Source and provide necessary training for staff, including Safeguarding, Health & Safety, and IT Training.
- Update policies, procedures, and processes as advised by JFT and the Director of Operations.
- Implement policy requirements, such as DBS checks and filing incident reports.
- Update the Risk Register and notify the Director of Operations of potential risks.
- Ensure Risk Assessments are completed and saved for events and programs.
Requirements:
Excellent administration and IT skills, with proficiency in the MS Office Suite and experience using CRM databases.
