Facilities Contract Coordinator

Are you an experienced Contract Support Administrator or Helpdesk Coordinator seeking your next opportunity? Perhaps you possess strong administrative and customer service skills, along with a background in planning and coordinating engineers within a facilities, engineering, or maintenance environment.

Do you have familiarity with FM Helpdesk processes and the ability to schedule, plan, and coordinate engineers' schedules? If you have experience managing quotes and overseeing subcontractors, we want to hear from you.

Thrive SW, a rapidly expanding M&E and Facilities Services company, is looking to recruit a Contract Coordinator to oversee a newly awarded contract.

Key Responsibilities:

  • Take ownership of all administrative tasks for a dedicated client, including:
  • Creating and managing job orders, scheduling engineers and subcontractors for reactive, remedial, and planned preventative maintenance (PPM) tasks.
  • Issuing contractor work orders and supplier purchase orders.
  • Ensuring compliance with service reports and job cards for each task as required.
  • Developing PPM schedules and generating quotes.
  • Managing all data entry on the customer portal.
  • Assisting in the management of PPM activities across client buildings to ensure compliance with contractual and statutory obligations.
  • Building and maintaining strong client relationships while reporting any service failures.
  • Ensuring a consistent level of service delivery across all sites.
