Our client, a prominent engineering and maintenance organization, is seeking a dedicated Commercial Administrator to enhance their team on a permanent basis.

Main Responsibilities

  • Timesheet Management: Collect and verify timesheets from site supervision.
  • Payroll Input: Enter information from timesheets into the payroll database.
  • Supply Chain Support: Provide purchasing assistance for various contracts and projects, including obtaining quotations and placing orders.
  • SAP Administration: Perform general SAP administration tasks such as raising requisitions and managing the Goods Receipt Note (GRN) process.
  • Plant and Equipment Documentation: Organize documentation related to hired plant and equipment, assisting in the ongoing hire process.
  • POB Tracker Updates: Maintain the POB tracker to reflect attendance levels, including holidays.
  • Communication: Answer phone calls and manage forms sent to HR/Payroll.
  • Trade Assessment Processing: Process trade assessment forms and validate employee qualifications using the onboarding tracker.
  • General Administration: Perform various administrative duties as required.
Commercial Duties

  • Estimate Production: Assist in creating estimates for maintenance, projects, or turnaround works.
  • Commercial System Review: Support the Commercial Manager in reviewing and maintaining current commercial systems and reports.
  • Report Updates: Update commercial reports and distribute them to the Commercial Manager, Site Managers, and Project Managers.
  • Budget Variations: Assist in the production, monitoring, and submission of variations to original budgets.
  • Application for Payments: Help prepare Applications for Payments (AFP's) including various pricing structures.
  • Key Performance Indicators: Assist in preparing Key Performance Indicator reports.
  • Commercial Feedback: Provide commercial insights and support to the Commercial Manager and operational management.
  • Additional Duties: Assist with any other tasks as required.
Experience & Qualifications

  • Prior experience in Contract Administration or Coordination within the Petrochemical or Oil & Gas sector.
  • Strong communication skills.
  • Proficient in Microsoft Office Suite (Excel, Word, PowerPoint).
  • Possess attitudes and abilities that align with the organization's core values.
  • GCSE Grade A-C.
  • Aspiring candidates should aim to achieve a relevant Engineering or Commercial qualification.
