Job Title: Operations Executive

We are seeking an experienced Operations Executive to join our team at Acosta Group. As an Operations Executive, you will play a critical role in ensuring the smooth operation of our business.

Key Responsibilities:
  • Administration & Data Management:
    • Manage and maintain accurate retailer sales data
    • Ensure master data is up-to-date and accurate at all times
    • Forward enquiries to the relevant contact
    • Update and maintain attendance logs and contact details
    • Cover reception desk as needed
    • Support holiday cover for the Operations Executive team
    • Support field managers with booking meetings, accommodation, and flights
  • Technical:
    • Support with loading scripts in line with client objectives
    • Validate updates and changes made to Field Execution Tool
    • Communicate completion of updates and potential impacts to users
    • Support with software issues from the field team
  • Fleet Management:
    • Main point of contact for fleet-related queries
    • Maintain list of drivers/vehicles in C-track
    • Support with booking/hiring cars
    • Accidents
    • Support field managers with IT equipment
  • Call File Management:
    • Ensure calls are added/removed as needed
    • Support with changes to call file
    • Use Geoplan territory planning tool
  • Reporting:
    • Complete basic reporting with use of formulas
    • Export data from 360 as required
  • Support for Account Briefing Process:
    • Produce account activity briefs
    • Compile visual aids/training documentation
    • Set up relevant information in systems
  • Client Communication:
    • First point of contact for operational queries
    • Manage client operational requirements
  • New Business:
    • Support with new business projects
  • Client Review Presentations:
    • Help build quarterly client review presentations
    • Analyze operational information
    • Build PowerPoint presentations
  • Financials:
    • Fuel reconciliation, expenses, driver deductions, and hire vehicles
    • Manage credit card reconciliations
  • Strategic Direction:
    • Contribute to the strategic direction of the Account and business
    • Review and propose new ways of working
  • Other Requirements:
    • Minimum of 1 field visit and 1 meeting attendance per quarter
    • Regularly read and follow Company policies and procedures
    • Take personal responsibility for Health & Safety Regulations
    • Take responsibility for personal development and complete mandatory training
    • Adhere to General Data Protection Rules and policies
