About the Role

We are seeking a highly skilled and experienced Executive Assistant and Office Administrator to join our team at LEK. As an Executive Assistant, you will provide administrative support to our Partners, ensuring the smooth operation of their diaries and ensuring that all tasks are completed efficiently and effectively.

Key Responsibilities
  • Administrative Support
    • Manage complex diaries for up to 3 Partners, scheduling meetings and optimizing time allocation
    • Coordinate international travel arrangements, including flights, hotels, and visas
    • Process timesheets and expenses, ensuring timely submission and compliance with deadlines
    • Manage inboxes, responding to routine emails and scheduling meeting requests
    • Support HR processes, including scheduling review conversations and mentorship sessions
  • Sector and Case Team Support
    • Manage new case initiations and supporting processes, including new case code requests and NDAs
    • Schedule case team meetings and support ad hoc case administration requests
    • Lead the review and execution of documentation linked to transaction processes
    • Manage documents required for meetings and decisions
    • Initiate case completion processes
  • Salesforce CRM Management
    • Cleanse and maintain contact information, adding new contacts as needed
    • Report on CRM data and track client development meetings
  • Client Development Support
    • Identify opportunities for meetings with new contacts and support Partners in maintaining consistent CD activity
    • Capture Partner notes from CD meetings and log them in CRM
    • Support relationship management, maintaining a list of priority relationships and contacts
Requirements
  • Proven experience as an Executive Assistant in a fast-paced environment, supporting multiple diaries
  • Excellent communication skills, both internally and externally
  • Ability to work collaboratively, recognizing the value of teamwork and building effective relationships
  • Flexibility and adaptability in dealing with change and ambiguity
  • Strong time management and organizational skills
  • Previous experience with Salesforce CRM systems, SAP, and Concur
  • Strong Microsoft skills in Word, PowerPoint, and Excel
