Position Overview

St John's Medical Centre is pleased to announce an opportunity for a Healthcare Reception Coordinator to become a vital part of our welcoming and established Reception Team.

The ideal candidate will possess a solid background in customer service, excellent communication abilities, and a passion for teamwork.

While experience in General Practice is beneficial and knowledge of the current challenges in Primary Care is a plus, it is not a prerequisite. We are committed to finding the right individual for this position, and comprehensive training and support will be provided.

This role requires a flexible work schedule, with hours distributed throughout the week between 07:30 am and 06:30 pm, Monday to Friday. Weekly hours may vary to accommodate the needs of the practice, and we strive to provide rotas at least two weeks in advance.

Flexibility is essential, as you may be requested to work additional hours to meet the Practice's requirements, which may include occasional Saturdays.

Key Responsibilities

The position encompasses a variety of tasks typical of a busy Reception Team, including but not limited to:

  • Striving to deliver the highest standard of patient care to our Practice Population
  • Assisting patients with appointment scheduling, addressing requests, and responding to inquiries via telephone, online submissions, or in person
  • Managing requests for repeat prescriptions
  • Completing administrative and patient-related tasks as necessary
  • Ensuring the clinical system is accurately maintained in accordance with Practice protocols and procedures

About St John's Medical Centre

St John's Medical Centre is a large, well-established practice serving approximately 13,000 registered patients. We are a Training Practice and frequently host GP Registrars, Nursing Placements, and work experience students from local Colleges and Schools. Our most recent CQC Inspection resulted in a 'Good' rating.

Our diverse multi-disciplinary team includes 3 GP Partners, 3 Salaried GPs, 4 Practice Nurses, 2 Healthcare Assistants, 1 Diabetes Nurse, 2 Care Coordinators, 2 Clinical Pharmacists, and 2 First Contact Practitioners. Additionally, we have a dedicated team of Receptionists, Administrators, and Secretaries who contribute to the efficient operation of the Practice.

Core Responsibilities

The following are the primary responsibilities associated with the role of Healthcare Reception Coordinator. Additional tasks may be assigned based on workload and staffing levels:

  • Overseeing and managing the Practice appointment system
  • Processing appointment requests through face-to-face interactions, phone calls, and electronic submissions
  • Handling incoming phone calls, transferring them as necessary, or addressing the caller's needs
  • Directing patients to both internal and external services
  • Initiating and responding to inquiries from patients, team members, and external organizations
  • Accurately inputting and coding data into the clinical system and patient records
  • Photocopying documents as required
  • Entering data for new and temporary registrations and relevant patient information
  • Directing requests for information to the administrative team
  • Efficiently managing all queries as needed
  • Conducting system searches as requested
  • Maintaining a clean and organized working environment
  • Monitoring the reception area and notice boards
  • Assisting all staff with general tasks as requested
  • Opening and closing the Practice on a daily basis
  • Processing prescription requests accurately and efficiently
  • Ensuring the security and management of blank prescriptions
  • Managing the security of medical equipment and ensuring registers are up to date
  • Addressing patient complaints both in person and over the phone, following the practice complaint procedure as necessary
  • Acting as a chaperone during specific situations as requested
  • Recording significant events appropriately on the designated platform

Required Experience

Essential

  • Experience in customer service
  • Administrative experience
  • Proficiency in Microsoft Office, including Word and Excel

Desirable

  • Experience in General Practice
  • Familiarity with clinical software such as SystmOne and AskmyGP

  • Education to GCSE level or equivalent

  • GCSE Mathematics and English (C or above)
