Job Title: Administrative Assistant

Job Summary

We are seeking a dedicated Administrative Assistant to join our Adult Mental Health Team at Oxford Health NHS Trust. This unique role requires an individual with strong organizational skills, attention to detail, and empathy towards patients.

Main Responsibilities

  • Provide comprehensive administrative support to the Adult Mental Health Team
  • Manage Doctors Outpatient Clinics, including booking appointments and updating databases
  • Handle correspondence and sensitive telephone calls with discretion
  • Prepare and proofread documents, including letters and reports
  • Ensure data databases are up-to-date and accurate
  • Process referrals and discharges in a timely manner
  • Assist in maintaining data quality and improving data collection
  • Order team stationery and assist with the induction of new staff members

Key Accountabilities

  • Maintain confidentiality and security of patient data at all times
  • Work collaboratively with team members to ensure the smooth running of administrative tasks
  • Attend mandatory training courses and participate in personal development opportunities
  • Assist in preparing meeting minutes and follow-up on actions arising
  • Undertake any other tasks as requested by the Team Manager
