The General Surgery Care Group is seeking to appoint a motivated and proactive Administrative Coordinator to enhance our supportive team. Your role will be pivotal in ensuring the delivery of a thorough medical audio and documentation service to our clinical staff.

Strong organizational abilities are essential, as you will be responsible for effectively managing your tasks. Proficiency in utilizing Careflow and Dragon dictation software is a requirement for this position.

Excellent communication skills and a professional telephone demeanor are crucial, as is a strong command of the English language to accurately interpret and relay both verbal and written information.

Key Responsibilities

Deliver a comprehensive medical audio and documentation service to the clinical team, including the preparation of clinic letters, minute-taking during meetings, discharge summaries, and medico-legal reports. Retrieve medical records to support the clinical team in managing appointments, tracking referrals to ensure timely patient reviews, and coordinating follow-up arrangements in accordance with patient pathways. Respond to telephone inquiries promptly and courteously, contacting patients as necessary while employing tact, discretion, and empathy in all interactions. Engage with patients and their families, providing routine information regarding appointments or clinic details, which may require persuasive communication skills, especially in cases of misunderstanding. Utilize sound judgment when addressing inquiries from patients, staff, or external parties, analyzing information to resolve issues related to appointment bookings, clinic scheduling, meeting arrangements, and managing the clinical team's diary commitments. Offer guidance to new or junior staff as needed, which may include demonstrating tasks to new hires and less experienced colleagues. Ensure accurate processing and storage of clinical records through both electronic systems and paper-based methods, including maintaining electronic waiting lists, managing appointments, data entry, and transcribing letters and minutes. Ensure all correspondence and discharge summaries are appropriately distributed to relevant professionals and patients.

In the past year, over £50 million has been invested in healthcare services across the hospital's facilities, which includes the acquisition of two new state-of-the-art MRI scanners, the establishment of a new 22-bed Intensive Care Unit, and the expansion of the Obstetric Theatre and Neonatal Unit.
