Administrative Support Specialist

Reed is seeking a highly organized and detail-oriented Administrative Support Specialist to join their team in a dynamic and supportive environment. As a key member of the team, you will be responsible for providing administrative support to ensure the smooth operation of the office.

Main Responsibilities:
  • Reception Management: Manage the reception area, ensuring a welcoming environment for clients and colleagues, and maintaining a high level of professionalism at all times.
  • Document Management: Oversee the opening and scanning of physical post, maintaining accurate records and ensuring compliance with company policies and procedures.
  • Office Supplies and Equipment: Coordinate office supply purchases, ensuring efficient use of resources, and maintain office equipment, coordinating maintenance service calls as needed.
  • Administrative Processes: Develop and implement administrative processes, adhering to company policies and procedures, and ensuring a high level of efficiency and productivity.
  • Onboarding and Offboarding: Manage onboarding and offboarding for joiners and leavers, ensuring a smooth transition and maintaining accurate records.
  • Meeting Coordination: Coordinate company meetings, ensuring effective communication and collaboration, and maintaining a high level of professionalism at all times.
  • Office Maintenance: Manage office and kitchen supplies, maintaining a clean and organized workspace, and ensuring a high level of hygiene and safety standards.
  • Documentation Archiving: Coordinate the archiving of documentation, ensuring secure storage and retrieval, and maintaining accurate records.
  • Health and Safety: Collaborate with building management to ensure fire drills are conducted regularly, and deliver a comprehensive health and safety induction for new employees.
Essential Criteria:
  • Administrative Experience: Previous office administration experience, with a strong understanding of administrative processes and a proven track record of delivering high-quality results.
  • Technical Skills: Proficiency in Microsoft Office suite, including Outlook, Excel, Word, and PowerPoint, and a strong understanding of administrative software and systems.
  • Organizational Skills: Excellent organizational skills, with attention to detail and a proactive approach, and the ability to work independently with minimal supervision.
