Key Responsibilities:

  • Manage daily requests through the CAFM system and helpdesk.
  • Collaborate with Contract Managers and Service Delivery & Mobilisation Managers to allocate tasks to contractors effectively.
  • Serve as a primary point of contact for clients, providing updates on works, addressing inquiries, and issuing quotations through client-specific web portals and our internal CAFM software.
  • Work closely with engineers to gather comprehensive details about required work scopes and generate reports/quotations.
  • Source and order necessary parts and materials from suppliers.
  • Process Purchase Orders for contractors and suppliers via the CAFM system, and authorize contractor invoices for payment.
  • Monitor contractor performance against Service Level Agreements (SLAs).
  • Provide administrative support to Contract Managers, including filing, copying, printing, scanning, collating, and laminating documents.
  • Review weekly schedules to ensure efficient resource allocation and match skill sets with assigned tasks. This involves communication with technical managers.
  • Compile instances of planned and reactive works that cannot be completed and escalate them to the Service Delivery & Mobilisation Manager.
  • Ensure accurate data for monthly reports is provided to Contract Managers.
  • Prepare weekly WIP (Work in Progress) reports for meetings.
  • Maintain shared drive site documentation.
  • Contribute to the Financial Month-end pack submission with Contract Managers.

Qualifications and Benefits:

  • Proven experience in a similar role within facilities management or a related field.
  • Strong client-facing communication skills.
  • Ability to thrive in a fast-paced environment.
