Job Overview

An exciting opportunity has become available to join the Pharmacy team at Epsom and St Helier University Hospitals NHS Trust. As a Pharmacy Administrative Co-ordinator, you will provide administrative support to the Chief Pharmacist, senior pharmacy staff, and the Medicines Management Team.

Main Duties of the Job

Key responsibilities include:

• Managing HealthRoster to ensure accurate recording of annual leave, sickness, and study leave.

• Supporting the maintenance and development of departmental databases, including contact details, distribution lists, and medicines management documentation.

• Working with the wider Pharmacy team to undertake general administrative tasks, such as word processing, maintaining filing systems, and ordering stationery and supplies.

• Arranging meetings and taking minutes.

Requirements

Successful candidates will have:

• Excellent communication and interpersonal skills.

• Strong organisational and administrative experience.

• Excellent keyboard skills and a good working knowledge of Word, Excel, and other IT packages.

• Ability to work to deadlines and deliver under pressure.

Qualifications

Essential Criteria

• Maths and English GCSE grade C or above or equivalent.

Desirable Criteria

• Business Administration NVQ Level 3.

• Typing certificate/speed 40 wpm.

Experience

Essential Criteria

• Experience in an office setting.

• Computer literate.

Desirable Criteria

• Experience of HealthRoster.

• Experience of working in an admin role in a hospital setting.

Skills/Abilities

Essential Criteria

• Excellent written communication skills.

• Advanced word processing and database skills.

• Ability to prioritise and meet deadlines.

• Work independently and as part of a team.

• Principles of Information Governance.

Desirable Criteria

• Minute taking.

• Ordering and clinical systems, e.g. Supply Chain, SBS.
