About the Team

The Chairman and Chief Executive’s Office provides day-to-day and strategic support to Ofcom’s Chief Executive and Chairman. The team manages their engagement with internal and external stakeholders, maintains an overview of Ofcom’s priority issues and ensures that the Chairman and Chief Executive’s decisions or views are communicated and followed through within Ofcom.

The team is based in Ofcom's London office and all team members are required to work from the office at least three days a week.

Purpose of the Role

This is an exciting opportunity to work in a small, dynamic team that operates at the heart of Ofcom. The Executive Assistant to the Chief Executive is a key position within the team. They manage the Chief Executive’s schedule by balancing competing priorities and a busy workload, whilst being able to horizon scan and react to emerging matters and issues.

Your key responsibilitiesEffective diary management, based on a strong understanding of the Chief Executive’s priorities and preferences, and including: organising and leading on the logistics for meetings; making travel arrangements (domestic and international); and, leading regular meetings to coordinate the Chief Executive’s diary.- Working closely with the Head of Office and wider team to prioritise the Chief Executive’s diary time.- Proactively building strong working relationships with Group Director PAs and more widely across Ofcom.- Providing wider support to the Chief Executive’s senior management team, including: organising overnight team events; liaising with the Governance team to schedule future meetings so that all SMT members are able to attend; and organising the approval of Group Director expenses.- Being a first point of contact for senior external stakeholders and their offices.- Managing the Chief Executive’s expenses and supporting the Head of Office to manage the team’s budget.- Working closely with the Chair’s PA to align diaries for regular catch ups and joint meetings; providing diary and administrative support to the Chair when needed.- Taking ownership of core team processes - such as information management on the team OneNote, stakeholder contact details and team ICT access - and driving improvements where processes can be made more efficient.- Providing additional support to the team on shared tasks and other duties that would reasonably sit within the purpose of the role, as and when required.

The skills, knowledge and experience you will need for successExcellent organisational skills, with a strong attention to detail and an ability to respond quickly and confidently to change.- Be a great communicator, with excellent interpersonal and team working skills.- A “can-do” attitude and the ability to drive forward multiple priorities simultaneously in a fast-paced environment.- Excellent judgement, including knowing when to use discretion. Confidentiality is key to this role.- Excellent working knowledge of Microsoft Office (i.e., Word, Outlook, Excel, PowerPoint, etc.).
