**Our Organisation**

The Cheltenham Trust is an independent charity that manages five iconic venues at the heart of Cheltenham including the Pittville Pump Room, Cheltenham Town Hall, Wilson Art Gallery and Museum, Leisure at Cheltenham, and the Prince of Wales Stadium.

Across all our venues, cafés, indoor and outdoor spaces we plan and deliver a wide range of year-round events including free events for the local community and visitors to Cheltenham, live shows, conferences, weddings, exhibitions, markets, and dinners.

**The Role -** **Weddings & Banqueting Coordinator**

As the Weddings & Banqueting Co-ordinator, you will be responsible for supporting the Weddings & Banqueting Manager and Senior Events Team in all activities relating to venue sales, client relationship management, and event delivery at Cheltenham Town Hall, Pittville Pump Room, and other Trust venues.

You will act as the primary point of contact whilst taking ownership of the relationship between all wedding and banqueting clients from enquiry through to event, ensuring the customer experience is positive and engaging. You will pro-actively identify new business opportunities through professional networking and hosting venue showcase events for private clients and wedding venue agents, whilst using industry insights to ensure that the Trust offering is in keeping with current trends.

Working with a variety of stakeholders across the Trust, including Food & Beverage, Technical, Front of House and Operations, you will oversee full end to end delivery of our weddings and banqueting events, calling on your experience in delivering high end weddings, and celebration dining to delight our clients.

You will be highly organised, have an eye for detail, and demonstrate strong interpersonal and communications skills.

**Duties will include**:

- Development and execution of wedding and banqueting events from concept to delivery, including the creation of function sheets, client event proposals, and supplier management.
- Be the first point of contact for clients and respond to venue hire enquiries in a timely and professional manner.
- Conduct venue tours with potential hirers, promoting the venues and services offered whilst identifying opportunities to upsell.
- Ensure all allocated weddings and banquets are delivered on time, in accordance with the event budget and to client expectations. For larger events or high-end weddings, support the Weddings and Banqueting Manager and work as part of the delivery team.
- Evaluate the commercial success of each event by preparing comprehensive event reports and use feedback to continuously improve the customer experience.
- Attend networking events to proactively engage with potential wedding clients and suppliers.
- Host venue showcase events for clients and corporate venue agents.
- Identify new opportunities to generate income and reduce operating costs whilst maintaining an up-to-date knowledge of industry trends.
- Oversee operations and coordination of stakeholders across the organisation to ensure the right resources for each event.
- Anticipate potential issues and mitigate them through innovative problem solving.
- Assist with the development of promotional marketing and social media campaigns in collaboration with the Marketing & Communications team.
- Support with the production of regular performance reports and implementation of detailed actions plans to address shortfalls or further grow income.

**Our Requirements**:

- **Minimum of 1 year experience** in a similar role is essential, ideally gained in a customer facing environment e.g., wedding venue, hospitality, or visitor attraction.
- Understanding of event operations, with a good knowledge of health, safety, and security policies & procedures.
- Knowledge of catering led events such as weddings, banquets and parties is desirable.
- Superb oral and written communication, interpersonal and customer service skills.
- Practical, can-do mindset and hands-on approach.
- Ability to anticipate potential issues and mitigate them through innovative problem solving.
