The Clinical Imaging Team provides a focal point for imaging and diagnostic services across the organisation and is responsible for the management of both new and follow up appointments, lists and waiting lists. It is a very busy and demanding area to work. The offices are open between 8am and 8pm, 7 days per week and staff are expected to work on a rota basis to cover these hours.

The Appointment Co-ordinator will be responsible for the management of outpatient referrals, waiting lists and clinics. You will need to have excellent communications skills and be able to work in a calm, logical and methodical way. You must be able to multi-task whilst dealing with frequent interruptions, whilst always maintaining patient confidentiality.

You will be able to support the service with administrative functions such as protocol updates, support training etc. and provide a link role for the Clinical Imaging Administrative and Booking team.

You must be confident, diplomatic and able to work in a busy environment with a pleasant and caring disposition. You will be required to have a good level of education and have some experience and knowledge of the NHS.

Full training will be given on IT systems.

The post holder will need to check patient details against a range of data sets to
ensure a high level of data quality. Attention to detail is crucial.
To contribute to the provision of a quality diagnostic appointment service and the
effective delivery of patient care.
Ensure all diagnostic lists are fully utilised and cancelled slots filled effectively
To ensure all patients are communicated with effectively and efficiently
Receive, access, co-ordinate and book appointments for patients using knowledge of
clinical specialities to ensure patients are booked into the correct appointment slot
together with any required diagnostic test.
To be fully conversant in the use of the specialised cancer database and the need for
accurate inputting of appropriate information
Ensuring patients are booked according to clinical urgency and RTT chronology.
Ensure validation of RTT patient pathways is undertaken at time of adding to the
waiting list.

Communicate and escalate any shortfalls in capacity to Booking Office Lead and
ensure additional capacity is fully utilised and appropriately communicated to
patients.
To maintain good communication channel and excellent customer service to patients,
clinicians, GP surgeries and colleagues within your team and in other departments.
To take, process and manage telephone calls in accordance with Trust policy and in
an appropriate manner using the Netcall telephony system.
Monitor and action both new and f/up waiting lists with appropriate escalation where
necessary.
To ensure cross cover when required according to the Imaging clerical rota and line
management requests.
