**About the Operations Administrator Role**

You will be providing administrative support across the World Energy Council’s London Headquarters.

A vital member of the Operations Team, the Administrator delivers a wide variety of administrative and secretarial support in a busy office environment. You will provide excellent customer service to our internal and external clients. Acting as the firstpoint of contact you will ensure the smooth running of the office, delivering timely and accurate records, as well as identifying and resolving all administrative needs of your colleagues.

**In this role, you will**:

- Deliver excellent customer service as the first point of contact for the Council - both in person and remotely.
- Manage, refer and resolve queries; organising to ensure the highest possible care and assistance is given to internal and external stakeholders.
- Manage suppliers, equipment, and facilities for the Secretariat. These include maintenance, inventory management, couriers and postage, logistics, building, security, and related activities.
- Ensure the accurate maintenance of financial records for the payment of suppliers. Also coordinating procedures with the Council’s external bookkeepers, ensuring financial data is delivered in accordance with the timescales required for accurate monthlymanagement reporting.
- Liaise with suppliers to resolve discrepancies or directing as appropriate for prompt resolution.
- Provide assistance to the Membership Services team, including financial administration, support for invoice production, confirming and tracking payments, logistics and distribution of Council publications to member committees.
- Provide support with basic HR administration tasks.
- Support the Operations and broader Council teams as required.

**About You**

As a pro-active member of the Operations team, you will be a confident and sound communicator, committed to delivering excellent customer service.
- Demonstrate strong organisational skills, with good numeracy and attention to detail.
- Be a good problem-solver, self-starter, with a flexible and adaptable approach to working independently with guidelines.
- Take an active role in personal development.
- Be highly organised and a capable multi-tasker, with excellent time management skills.
- Have strong problem-solving abilities.
- Have excellent written and verbal communication skills.
- Be IT literate - in particular Windows and MS Office.

Relevant and demonstrable experience in a similar Operations role is **essential**.

**Hours**

We operate hybrid working, with some attendance in the office when required - for this role, this will be worked on a rota basis with the wider Operations team.
