A vacancy has arisen for a fulltime Receptionist / Administrative Clerk to support the cardiac physiology team. We are looking to recruit a professional and adaptable member of staff into our pleasant team within the Cardiac Investigations Unit (CIU).

The unit delivers a wide range of diagnostic and therapeutic services, these include: Electrocardiography (ECG), blood pressure & holter clinics, Exercise Stress testing and Echocardiography. We welcome over 4000 patients a month into our department and our friendly reception staff are key to our success.

You should be able to work as part of a busy team and on your own initiative. As well as having excellent communication, organisational and interpersonal skills, you will need to be flexible, have an appreciation of the confidential nature of the work and be able to manage a busy workload. The use of IT is essential to this role, and experience of the hospital appointment system is desirable.

The department opening hours are 8:00am - 6:00pm Monday - Friday

To provide a professional and efficient reception facility for service users and visitors to The Cardiac Investigations Unit.

In accordance with trust policy manage clinic appointment waiting lists for all investigative tests ensuring an efficient service is provided always maintaining confidentiality.

To provide administrative support to clinical staff as and when required.

Manage waiting lists for all investigative tests carried out within the unit, identify, and monitor potential breaches, liaise with relevant staff ensuring the national /local target dates are met. Issue appointments by letter and telephone where appropriate. Type appointment letters when computer produced letter not appropriate. Ensure appointment cancellations and amendments are allocated new appointments within specified time limits.

Communicate with patients concerning their appointments and treatments give clinical advice regarding stopping medication for certain tests. Show a caring attitude allaying fears expressed by patients or relatives give concise information about tests performed verbally or by information leaflet. Deal with hostile situations if they occur.

Provide a professional and efficient reception facility. Welcome patients and visitors to the department notify relevant team of their arrival to ensure smooth running of the clinic. Operate a direct booking facility to patients from cardiac outpatients on a daily basis issue appointments with patients face to face giving patient choice.

Ensure all attendances are correctly recorded onto hospital system also input clinical codes accurately to ensure the trust obtains maximum funding for payment by results.

Answer telephone enquiries from patients, other hospital departments and GP surgeries. Communicate with Outpatient staff, ward staff and Doctors on a regular basis regarding inpatient referrals and test results.

You may be required to support the pacing service and implementing any changes to procedures on Hospital Patient information System (HISS) including booking pacemaker clinic appointments and updating patient records and tracing notes.

Plan and organise workload prioritise work to ensure urgent and fast track cases are dealt with and allocated appointments within hospital targets.

Prepare clinic lists daily ensuring all referral cards are present for clinical staff. Request and collect case notes in advance of clinics to ensure smooth running of appointments.

Liaise with ambulance transport on behalf of patient, organise collection of ambulatory monitors from patients using transport.

Have flexibility to cover other clerical posts within the unit this includes input of data on the e-roster system also collate statistical information for department manager.

Recognise and take appropriate action if a patient collapses in the waiting room.

Undertake staff development courses as agreed with admin manager.

Complete mandatory training as required by the trust including basic life support. Supervise and train newly appointed clerical members of staff.

Receive and distribute mail internal and external. To be responsible for ordering & maintaining stationary stocks in collaboration with the CIU Administration Manager.

Report faults to Estates & IT helpdesk via the intranet.
