Sheffield, United Kingdom Ossila Ltd Full time

We are looking for an adaptable and organised office assistant to provide essential administrative and practical support to all teams across the business.

**About the Role**

At Ossila, our engineers and scientists design and build new, innovative pieces of scientific equipment. We manufacture a wide range of products in Sheffield, including thin-film coating equipment, environmental control systems, and opto-electrical testing systems.

Within this role, you will:
Provide administrative support to the operational teams.
- Keep the offices running smoothly through practical tasks such as monitoring and restocking office essentials, arranging repairs and ensuring general upkeep.
- Act as the main contact point for receiving goods and deliveries. This involves liaising with logistics companies on delivery locations around the site and arranging returns when necessary.
- Provide first-line phone support for general enquiries and act as gatekeeper for non-essential calls.
- Liaise with site reception on premises issues (e.g. access cards, guests, or mail) and external contractors (e.g. maintenance and cleaning).
- Assist in arranging company-wide meetings and events, including coordinating catering.
- Occasionally arrange staff travel if needed.
- Provide administrative assistance with recruitment to help us secure great staff and accelerate growth.
- Help to induct and provide support to new colleagues.
- Take on new challenges as the business grows and develops.

**About You**
- You can demonstrate good administration skills and familiarity with Office software.
- Your experience includes working in a professional business setting.
- You have strong written and spoken English ability.
- You are flexible, organised, and action-oriented.
- You are confident, polite, and enjoy working with people.
- You employ a people-focused approach but are able to be professionally assertive when needed.
- You have excellent organisational skills, good attention to detail, and the ability to multi-task.
- You can prioritise tasks and respond to queries when it is needed the most.
- You enjoy being part of a team and foster a collaborative environment through effective communication.
- You are keen to continue your personal learning and development.

A full clean UK driving and use of own car would be highly desirable (mileage reimbursed).

**Why Work with Us?**

Joining our team means you become part of a forward-thinking organisation that values innovation, collaboration, and personal growth. At our Sheffield site, we offer:

- Competitive salaries with regular performance-based pay reviews
- A long-running, discretionary profit share scheme
- Regular ‘tea and cake Tuesdays’ where we catch up with each other
- Free on-site parking with marked bays
- Secure bike storage and shower facilities
- Modern, recently renovated office spaces

**How We Work**

Working together in-person is an essential part of Ossila. We value the collaborative, knowledge-sharing moments that happen over a cuppa, and this is why our roles are office based. If you are someone who shares this perspective and are enthusiastic about joining Ossila in our Sheffield office, we want to hear from you.

**About Us**

Ossila is a small but high-growth business which manufactures and supplies scientific equipment, materials, and laboratory supplies to institutions around the world. Our aim is to help accelerate the pace of scientific discovery. To do this, we are looking to continue our rapid expansion with a view to building a world-class company of significant size and stature over the next five years. Formed by academics from the University of Sheffield, we now employ over 50 people across our offices in the UK, the Netherlands, and Bengaluru.

We pride ourselves on our high-quality products, excellent customer support, and accessible prices. Our customers can be found in over 80 countries (approximately 85% of our sales are exported) and include many of the world’s leading research institutions.
