Based in Newport area the successful **Personal Assistant** will provide a full Personal Assistant service to Consultants in Public Health, as well as supporting the wider Covid-19 Regional Cell Team.

**Description**

**The key responsibilities of the Personal Assistant include**:

- To provide a comprehensive clerical, administrative and secretarial service including comprehensive and effective diary management.
- Responsible for organising meetings, preparing agendas and papers as required.
- Recording of formal minutes and notes and following up any actions.
- Liaising with staff, external organisations and contractors.
- Handling sensitive, potentially contentious and confidential information and data and using tact, diplomacy and persuasive skills where cooperation is required.
- Planning and co-ordination of minor projects and events
- Oversee the co-ordination, organisation, planning and provision of training, meetings, workshops and events to support programme delivery.
- Ensure timely, high quality reports are produced to meet reporting requirements for all programmes and to support wider departmental requirements.
- Compile reports based on analysis of highly complex information.
- Ensure that tracking mechanisms are in place and maintained to meet progress monitoring requirements.

**Profile**

**The successful Personal Assistant will have**:

- Thorough understanding of secretarial procedures.
- Working knowledge of filing/data systems including records management.
- Knowledge of administrative and organisational procedures, acquired through training and relevant experience.
- Ability to work to deadlines and under pressure.
- Able to work within a team.
- Ability to work on own initiative.
- Good time keeping.
- Respect confidentiality.
- Willingness to learn and develop skills.
- Willingness and ability to travel between sites.
- RSA level III, NVQ Level 3 Business Administration or equivalent level of experience, together with a high level of numeracy, written and spoken English
- Good standard of general education.
- Demonstrable proven experience of working as a PA or equivalent.
- Experience of dealing with confidential and sensitive data and appropriate maintenance and storage of records.
- Minute taking and recording
- Experience of working autonomously
- Ability to plan and prioritise workloads and meet deadlines.
- Ability to manage own workload effectively and to work proactively as part of a team, and with a range of senior managers.
- Ability to work under pressure.
- Advanced keyboard skills with the proven ability to produce reports, spreadsheets and correspondence

- Ability to demonstrate an understanding of the Local Public Health Team
- Working knowledge of MS Office Suite.
- Awareness of policies and procedures relating to dealing with confidential data both personal and organisational.

**Job Offer**
- Immediate start available
