Location: London (hybrid)

Remuneration: £31,000-£35,000 per annum

Contract terms: 2 years (incl. 6-month probation)

**What will the **Project Officer and **Administrator **do?**:
Reporting to the Managing Director - UK, the Project Officer and Administrator supports CEI’s rapidly growing UK team, as well as providing cross-organisation support. A key member of the UK team, the role provides administrative and operational support for projects and business development.

The Project Officer and Administrator assists with activities such as project management, resource management and invoicing, new business scanning, study participant recruitment, stakeholder engagement, and finalising the formatting and presentation of project outputs. They are a member of CEI’s cross-organisation global Operations Team and provide operational support to functions including Communications, People and Culture, and Finance. They also provide diary and administrative support to the Managing Director - UK, and to other team members as required.

This role supports the delivery of essential projects with tight timeframes, ensuring the CEI’s operations and business activities run smoothly. The Project Officer and Administrator is a critical role for an expanding business and offers room for growth and development. It is a varied role that requires an experienced person, comfortable dealing with a variety of internal and external stakeholders and managing competing demands, able to work with accuracy and speed, and with excellent interpersonal and communication skills.

As part of a global organisation, this role involves work and meetings outside regular business hours, particularly early morning meetings, as well as work on projects and initiatives across CEI’s global offices.

The Project Officer and Administrator’s key areas of responsibility are:

- **Project support** - assistance with the preparation of presentations, proposals, reports and tender responses, general administrative support for research projects (including data collection), stakeholder liaison.
- **Operational and team support **- diary management and travel arrangements, general administrative support and minutes, database management.
- **Communications responsibilities **- support with developing updating content for CEI’s website and social media channels, event support, analytics and reporting.
- **People and Culture responsibilities** - assistance with recruitment and onboarding of new staff, local coordination for HR activities and processes.

**Key areas of responsibility**:
**Project support**
- Coordinate and provide support to tender response processes.
- Set up and run project management processes (including scheduling work on the digital platform Mavenlink, as well as contracting and invoicing).
- Assist in producing reports, presentations and proposals using CEI templates.
- Support the recruitment and scheduling of key data collection activities.
- Liaise with external and internal stakeholders.

**Operational and team support**
- Diary management for the Managing Director - UK
- Provide administrative support across the UK team; travel arrangements, team meetings, booking meetings, taking minutes for key meetings, resolving IT issues (liaising with IT Support), managing initial enquiries, etc.
- Assist in the planning and coordination of events when needed.
- Horizon scan and signpost bidding and learning opportunities.
- Maintain a list of UK stakeholders and contacts.
- Contribute to building and maintaining a strong culture and team environment, including planning team activities and celebrations.
- Minute cross-organisation meetings as required, such as our senior management team meetings and global staff meetings.
- Provide operational support to other offices as needed.

**Communications responsibilities**
- Support social media written and visual content development and posting (Twitter/X and LinkedIn), and live tweeting at relevant CEI and other events.
- Support CEI internal communications.
- Support the compiling of our regular external newsletter.
- Assist in keeping website content up to date.
- Compile analytics and reporting data for global communications.
- Support with internal and external events, such as conferences, seminars and webinars.

**People and Culture responsibilities**
- Provide support and coordination for recruitment processes.
- Assist with the onboarding of new staff, including freelance staff and interns.
- Coordinate HR activities and processes with the Operations Team and UK HR provider, including liaising on payroll and
