- Liaising with the Director of Medical Studies, University and NHS faculty to ensure the smooth running of the administrative arrangements for teaching delivery.
- Acting as first point of contact for students and replying to a range of issues on behalf of the Director of Medical Studies, or researching and preparing information/drafting replies.
- Organisation and coordination of timetables for termly student teaching blocks, tutorials and placements using initiative to make considered judgements when juggling the demands placed on the lecturers/tutors.
- Preparing course materials, organising lecturers/tutors/actors and teaching venues and updating the Canvas system to disseminate information.
- Organisation and co-ordination of all student assessments, including the formative OSCE assessments, final assessments and student signoff at the end of each course.
- Collating data from teaching feedback forms/surveys.
- Providing full administrative support on financial matters; for example expense claims and requesting purchase orders and passing invoices for payment for actors related to the course.
- Disseminating information relating to student regulations and policies.
- Organising and participating in teaching committee meetings, producing agendas, minutes and other required information.
- Recommending and adapting administrative processes to ensure optimal working methods.
- Curating and appropriately managing student data in accordance with GDPR.
- Assisting in updating student information on the department’s website.
- Assisting in implementing new technology to enhance teaching standards.
- Developing successful working relationships with academic and support staff colleagues across the department and in the wider University to facilitate the sharing of information, ensuring the smooth running of the course and contributing to a positive student experience.
- Providing ad-hoc cover for the Department reception, including greeting visitors and accepting deliveries.
- Other tasks and duties as required from time to time and commensurate to the grade of the post.
- Person specification- Educated to A Level or equivalent with GCSE in English and Maths(A*-C/9-5).- Previous administrative experience of providing a high level of customer service
- Ability to communicate clearly and accurately both verbally and in writing
- Demonstrable ability to prioritise workload and produce accurate, detailed work within deadlines
- Well organised and able to work on own initiative with minimum supervision
- Excellent computer skills including Microsoft Office and the ability to learn new IT systems quickly
- Experience of working effectively in a team
