**JOB TITLE**: Medical Receptionist

**REPORTS TO**:Reception Supervisor/Practice Manager

**Job Summary**:
Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way.

Provide general assistance to the Practice Team and project a positive and friendly image to patients and other visitors, either in person or via the telephone.

**Responsibilities**:

- Open up premises at the start of the day when first to arrive, de-activate alarm make all necessary preparations to receive patients.
- When last to leave at the end of the day, ensure that the building is totally secured, internal lights are off and the alarm is activated following the locking up checklist.
- Ensure that all new patients are registered onto the computer system promptly and accurately.
- Ensure an effective and efficient reception service is provided to patients and any other visitors to the Practice.
- Deal with all general enquiries, explain procedures and make new and follow-up appointments.
- Using your own judgement and communication skills ensure that patients with no prior appointment but who need urgent consultation are seen in a logical and non-disruptive manner.
- Explain Practice arrangements and formal requirements to new patients and those seeking temporary cover and ensure procedures are completed.
- Receive and make telephone calls as required. Divert calls and take messages, ensuring accuracy of detail and prompt delivery.
- Enter requests for home visits electronically on SystmOne ensuring careful read coding of all relevant details. Then print out a patient summary adding and highlighting any QOF alerts.
- Action repeat prescription requests and ensure that they are ready for collection by the patient or chemist (s) within 48 hours.
- Map any medications for the EPS
- Responsible for updating the practice Twitter account and updating the web site on a monthly basis under the Practice Manager’s instructions.
- Action requests for “monthly” prescription requests for care and nursing homes.
- Arrange all District Nurse and Phlebotomist visits and check that they have been carried out.
- To make sure that clinic letters received daily are accurately read coded and filed into patient notes.
- Ensure that patients are notified on arrival if the Clinician they are seeing is running late and provide regular updates.
- Enter patient information onto the computer as required.
- Retrieve and re-file records as required ensuring strict alphabetical order is adhered to.
- To open and scan onto system all daily post allocating to each GP as appropriate
- Action tasks daily as appropriate
- Make and serve refreshments, ensure the kitchen/reception area is kept clean and tidy.
- Load and unload the dishwasher and clean cups in turn with other staff.
- Air and tidy the waiting room in turn with other staff.
- Update notice boards as necessary
- Promote online registrations and NHS APP
- To promote smoking cessation and advise patients to sign post to appropriate services
- To promote vaccinations campaign as instructed by the practice manager
- To invite patients on the Non-diabetic Hyperglycaemia register to their annual bloods
- Undertake any other additional duties appropriate to the post as requested by the Partners or Practice Manager.

**Health & Safety**:
The post-holder will assist in promoting and maintaining their own and others’ health, safety and security as defined in the practice Health & Safety Manual and the practice Infection Control Policy, the practice Health & Safety Manual. This will include:
