In this role you will c reate and manage a members register for the Riverside Customer Voice Executive (RCVE), noting term of office, meeting attendance and ensure that membership is aligned to the constitution, making recommendations to the Chair for any future recruitment requirements.

**So, who are you?**

You will Co-ordinate RCVE meetings, agreeing the agenda with the Chair in advance and ensuring this is aligned to the Annual Workplan of RCVE. Collate meeting packs, working across Riverside to source the necessary reports to support discussion and circulate to members at least one week in advance of the meeting. Book venues, accommodation, catering, transportation, and any other resources to ensure the meeting requirements operate efficiently. Ideally in this role you should have an e xperience of maintaining databases, organising meetings and liaising with suppliers, also you should be Proficient with Microsoft Teams, Word, PowerPoint, and Excel. **Role Profile**

To provide quality, comprehensive administrative support to the Riverside Customer Voice Executive by undertaking clerical and co-ordination activities to support their work.

**Role requires you to**:

- Create and manage a members register for the Riverside Customer Voice Executive (RCVE), noting term of office, meeting attendance and ensure that membership is aligned to the constitution, making recommendations to the Chair for any future recruitment requirements.
- Co-ordinate RCVE meetings, agreeing the agenda with the Chair in advance and ensuring this is aligned to the Annual Workplan of RCVE. Collate meeting packs, working across Riverside to source the necessary reports to support discussion and circulate to members at least one week in advance of the meeting. Book venues, accommodation, catering, transportation, and any other resources to ensure the meeting requirements operate efficiently.
- Provide administrative support during RCVE meetings, taking accurate notes, recording attendance and apologies, ensuring meetings are quorate and noting any conflicts of interest. Ensure draft minutes are shared with the Chair for review and sign-off no later than one week following the meeting.
- Co-ordinate the Riverside Customer Voice (RCV) Annual General Meeting or where required Special General Meeting, agreeing the agenda in advance and ensuring all necessary governance requirements are completed, including compliance with the 3-year rotational members resignation and election process. Ensure the meeting is widely publicised and promoted to members. Take accurate notes during the meeting, including the outcome of elections, and share draft minutes with the Chair no later than one week following the meeting.
- Provide administrative support to the ‘Officer Group’ and co-ordinate the election of Officers every two years.
- Support RCVE with recruitment campaigns for new members, including production and publication of opportunities. Support organising Assessment days for new applicants. Book venues, accommodation, catering, transportation, and any other resources to ensure the meeting requirements operate efficiently.
- Process customer expense claims in line with the policy for involvement and engagement activities, ensuring payments are made without delay.
- Co-ordinate the activities of the Customer Scrutiny Group, arranging meetings and working across the business to ensure the relevant officers are invited to meetings.
- Co-ordinate the activities of the Customer Complaint Panel, arranging meetings and circulating information in advance as well as noting outcomes and providing feedback to customers.
