Part Time Personal Assistant and Office Manager

Our client, an award-winning civils engineering, land drainage and landscape construction specialist, is seeking a ** **Personal Assistant and Office Manager** ** to join their small team on a part time basis.
Located in rural Buckingham, our client offers design and engineering services to support drainage and land engineering, sport facility and surfacing (natural turf and synthetic surfaces), landscape and waterscapes construction across a range of sports includingfootball, polo, and golf.
Working 24 hours over 3 days (flexible), the responsibilities for this job opportunity include:
Personal Assistant to Company Director.
- Diary Management - Booking appointments, field visits and very occasionally accommodation and UK flights.
- Help with time management - Supporting company director with offering time sensitive updates - a gentle nudge for the day / week ahead.
- Taking notes at meetings or presentations, preparing the project updates.
Office Management / Administration.
- Document editing (using Microsoft Word & Adobe Acrobat DC).
- Occasional remote admin support duties for primary client (using Microsoft Excel and Sage based software).
- Researching and downloading plans from land directory websites
- Assisting Company Director in typing and compiling reports in terms of placing text, inserting images and formatting.
- Managing databases and filing systems.
- Ordering stationery and consumables.
Driving / Escorting Company Director (Director is medically exempt from driving).
- Driving Company Director (in company car) to site visits and meetings. Site visits are in daylight hours / during the business day and will be scheduled by the incumbent.
- On the very rare occasion of visits a little further away, accommodation will be provided.
Basic Accounts / Bookkeeping (This vacancy requires basic input and accounts administration).
- Matching and batching of invoices.
- Entering purchase invoices onto the Sage system.
- Raising invoices in Excel (templated format) and sharing with the Company Director in a PDF format.
- Managing expenses and general transactional admin for Accountants.
Help is on hand for support with all of the above.
Our client also has a residential Labrador, and he is happy for another dog to join the office fold This role would be to work from an external office, overlooking the countryside and could require someone to work under their own steam from time to time.Proficiency with Microsoft Office (Excel, Outlook, Teams, Word) is needed together with a clean UK driving license. Sage knowledge would be advantageous as would land management, agriculture/equine or GIS experience.
