**People Coordinator/Administrator - Permanent, Canary Wharf**

Hours**:40 per week, 08.30am - 17.30pm Monday to Friday

**Salary**: £35,000 to £38,000 per annum dependant on skills & experience

**Duties & Responsibilities**

To be successful, you must enjoy working in a fast-paced, collaborative and changing environment. The role is pivotal in providing a proactive, empathetic, and accurate HR service to our people through our administration processes, payroll administration and project work.

Your key responsibilities will include:
**People Operations**
- Managing the team’s group mailbox on a daily basis, as well as taking action on all people-related queries from the business, escalating to the People Business Partner and stakeholders when needed.
- Taking ownership of end-to-end benefits administration, annual renewal processes and day-to-day administration.
- Ensuring accurate database maintenance of all people-systems, keeping all data clean across multiple platforms and administered within processing timelines.
- Supporting employee relations cases, including attending hearings to take minutes and supporting with employee relations through probation reviews and the probation process, exit interviews, and proactive management of fixed-term contracts.
- Supporting the wider People team with the coordination of the regular induction and group on-boarding process, training events, and internal training initiatives.
- Administering full employee-lifecycle processes including the starters, leavers, changes and payroll processes underpinned by systems and database administration and maintenance:

- Preparing all employment contracts, coordinating inductions, completing reference checks, setting up new starter systems profiles.
- Preparing all resignation acknowledgement and exit letters, coordinating exit interviews, off-boarding employees from all systems.
- Preparing all employee change documents, including TUPE contracts, pay review and bonus letters, employment references, promotion and job role change letters and Total Reward Statements.

**Payroll**
- Administering end to end payroll process including generating and updating payroll tracker, inputting data in the payroll system.
- Managing all payroll queries, escalating to the relevant people where necessary.
- Administering payroll portal access to all employees and making ad-hoc changes where necessary.

**MI Reporting & Data Analytics**
- Preparing, monthly and management information and management dashboard reporting to include, employee relations, recruitment, attrition and turnover.
- Administering total reward statement process by pulling data together, creating master database and generating statements.

**Skills, experience & qualifications**
- Exceptional attention to detail and accuracy.
- Excellent communication skills, both written and verbally, with confidence to communicate with all stakeholders across the business.
- An empathetic approach - this role partners our people and we should put them at the forefront when working through people-related matters
- Process driven individual with Exceptional Microsoft Office skills, particularly Excel, with demonstrable experience in preparing reports.
- Experience working in fast-paced, agile and changing environment.
- A developing understanding of HR practices, procedures and strong technical skills, particularly in relation to employment law and policy development.
