An exciting opportunity has arisen for an experienced administrator to join the Patient Safety and Quality team at Gloucestershire Hospitals NHS Foundation Trust on a fixed term contract to cover maternity leave. The role will provide essential administrative support to the corporate and divisional Patient Safety & Quality Teams and support the Datix System Manager with the administration of the Trust Risk Management Software (Datix).

The Trust is looking for a diligent, proactive, experienced administrator with excellent communication and organisational skills and a keen attention to detail.

The role requires excellent organisational and time management skills and the ability to communicate clearly and concisely. Experience of Microsoft office packages is essential.

**Job Purpose**:

- To coordinate and provide administrative support to the corporate and divisional Patient Safety & Quality Teams.

**Key Areas of responsibility**:

- Entering data and generating reports from databases and spreadsheets using defined search criteria;
- Maintaining and updating data dashboards as required;
- Managing electronic storage provisions through the use of share drives and SharePoint sites;
- Providing diary management support to the Divisional Patient Safety & Quality Managers;
- Following up on actions and enquires as required;
- Responding to enquiries and providing process related advice and guidance where able and escalating queries where required;
- Providing administrative cover for the Patient Safety & Quality administrator where necessary;
- Coordinating requests for training and reports on behalf of the patient safety and quality team;
- Carrying out data entry, producing reports that identify trends and carrying out basic data analysis;
- Carrying out quality control checks as requested;
- Conducting basic training in accordance with prescribed training guides;
- Requesting patient notes as required by the patient safety & quality team;
- Supporting the transfer of sensitive and sometimes contentious information arising from safety incidents while maintaining confidentiality and using discretion;
- Attending regular team meetings;
- Provide day to day supervision and coordination of the Patient Safety & Quality Administrator, providing training in departmental procedures and policies. This will include approving holiday requests, conducting appraisals, disciplinary matters and work allocation;
- Developing, implementing and maintaining office systems
- Providing general clerical duties including filing and photocopying
- Working on projects as directed by the Safety & Quality Improvement Manager
- Arranging a variety of meetings, workshops and presentations.
- Attending meetings to take and transcribe minutes/notes.
- Working under time pressure with some interruptions to deal with queries
- Frequent periods of concentration required whilst maintaining a high standard of attention to detail.
- Prolonged use of computers for majority of working day.
- Proactively identify and implement quality/service improvements, updating and implementing policy developments as appropriate.
- Coordinating the safety alert process to include notifications, tracking and forwarding responses
- Coordinating the mortality review process to include chasers, performance reports and forwarding completed reviews
- Basic use of Trak care and electronic patient record to provide support to the Patient Safety and Quality advisors in identifying the outcomes for patient following incidents
- Supporting the Patient Safety and Quality team tracking incidents and action plans
- Line manage staff, including employment, grievance, sickness monitoring and appraisals and provide professional support and development opportunities
