**The role**

A successful Office & HR Administrator will have a pivotal role in ensuring the smooth running of the office and the bedrock of the HR function. We are a dynamic, collaborative, and growing organisation who are working in a hybrid manner of in the office and working from home so you must be comfortable with a fast pace of work and interacting both face to face and via video.

The role encompasses office security, supporting HR on H&S initiatives, office maintenance and coordinating with suppliers. For HR, the role supports the HR Generalist in all aspects of HR administration, such as monitoring the HR inbox, maintaining the HRIS and escalating issues as appropriate.

You will also be involved in ad hoc project work, mostly centred around projects which require use of the office e.g. helping to coordinate any town halls or social events using the space.

**The person**
- Have strong verbal and written communication skills
- Good IT skills (including Outlook, Excel, Word)
- Discreet and sensitive with confidential information
- Have a customer service approach, with aptitude to be resourceful and - proactive when issues arise
- Multi-tasking, good time management skills and familiar with working in a fast-paced office environment
- Have experience in a similar role
- Positive 'can do' attitude and down to earth
- Work well under pressure and experienced meeting tight deadlines
- Build strong relationships with stakeholders

**The responsibilities**
- Maintain office security by following safety procedures and monitoring access plus office keys and fobs. Lead on office registration of guests and contractors visiting.
- Act as the primary level of service / supplier management for all office related maintenance including the building’s management team, contract renewals and managing the cleaning contract
- Escalate office related matters to the HR Generalist for further discussion and guidance
- Support on the office-based H&S compliance (with the support of the HR Generalist and our external adviser), including the use of any DSE.
- Manage, coordinate and deliver all new starter office related Health & Safety inductions. Support HR with any ongoing First Aid requirements for staff.
- Support HR with the ongoing management of the HR inbox and next assignment of work, to ensure prompt professional responses.
- Support the HR Generalist with the ongoing administration of the employee lifecycle, including onboarding and offboarding.
- Manage London virtual office including H&S compliance/evidence, payments and general day to day requests from colleagues and of the centre itself.
- General office administration including the purchasing of office supplies and refreshments. This also includes supporting the business on booking ad hoc meeting space available elsewhere within the building.
- Organise and order office lunches as required.
