We are looking for an Executive Assistant to provide an advanced level of administrative support and coordination mainly to the Sales and GSA leader in BIS, and then a pool of leaders identified only on some activities. Working with mínimal supervision and a high level of administrative skill in a fast-paced environment, the Executive Assistant must exercise professionalism, diplomacy, tact, discretion and confidentiality. Strong initiative and judgment are required with the ability to plan, direct and coordinate many tasks on behalf of the executive and his team.
**What You'll Do**:
- Executive calendar support and maintenance via Outlook, with forward thinking aptitude for timelines, availability, reminders and prep time. Manage corresponding conference room bookings and any additional support. Familiarity with global time zones is required. Additional calendar support may be required at times to other members of the team.
- Manage L1 Annual Calendar, Monthly Team Meetings, PD/OPS, PPG meetings and Quarterly Business updates. Knowledge of DBS culture and systems will be required. Prepare agendas, background documentation, and presentation/templates in support of meetings.
- Organize internal and external events; meetings, seminars, workshops, and special projects such as team buildings and Kaizen’s; Manage all aspects of event from quote, contract coordination, overnight room blocks, menu’s, agenda/meeting space, supplies, car service, etc. Interface with DBS Directors in support of any DBS meetings or trainings in the same manner.
- Research and coordinate complex domestic and international travel (which includes passport and Visa preparation).
- Management of all facets of expense process is also a key responsibility utilizing the Concur system.
- Liaise with internal and external contacts on behalf of the executive, such as BOD meetings and VIP customers.
- Collaborative spirit, positive attitude and a professional image required as a representative of the executive office. Core competency in Microsoft office is expected; MS Word, Excel, Powerpoint, and Outlook and ability to work extended hours may be required at times.
**Who You Are**:
- 10 years of recent senior/executive administrative support experience in a corporate setting.
- Extensive experience with complex international travel and Visa coordination.
- Excellent Business writing skills.
- Ability to work independently, self-starter.
- Experienced at appropriately handling highly sensitive and confidential materials/matters.
- Advanced PC skills with MS Excel/Word/PowerPoint, Outlook, Sharepoint, Box, Concur, AMX online system, and various Web browsers.
- Professional, resourceful, and positive work attitude is essential.
- Excellent organizational, time management and project management skills.
- Attention to detail and first right time focus is key.
