Personal Assistant to The Governor in Charge

Provide a high level of professional and confidential secretarial and administrative support to the Governor and Deputy Governor.

As necessary, provide administration support to members of the Senior Management Team (SMT) and the Compliance and Criminal Administration Manager.
- Responsibilities Act as the point of contact for the Governor/Deputy Governor when dealing with written and verbal enquiries, including PCF2s and TOCs, and where appropriate providing a response on their behalf.- Responsible for the co-ordination of regular Internal Complaints Committee hearings as well as managing and maintaining the Establishment’s Annual Assurance Schedule for PRL Audits ensuring all business areas complete and return their submissions within set deadlines.- Responsible for the co-ordination of Business Improvement related activities including producing daily Business Object reports and updating QBR and Business Review action log.- Maintain effective and efficient electronic and paper-based filing and data recording systems, ensuring compliance with Records Management Policy, Data Protection Legislation and SPS guidelines.- Carry out other administration tasks commensurate with pay band including but not limited to ad hoc cover for the Court Desk.**Person Specification**- Qualification Requirements- Minimum of five National 5 at Grade C or above (including English & Maths/Arithmetic) or equivalent qualifications or relevant administration experience**.**
- Knowledge, Skills and Experience Requirements- Previous experience in an administration or secretarial role.- Strong working knowledge of IT and Microsoft Office 365 packages including TEAMS.- Experience of minute taking and writing official correspondence with an ability to manage sensitive information in compliance Information Security Policy and Data Protection Legislation- Behaviour Requirements- Listen & Communicate- Relationships & Collaboration- Plan & Organise- Solve Problems & Make Decisions- Selection method 1- Final Stage Interview
