Construction Administrator

**JOB PURPOSE**:
The Construction Administrator provides an efficient end-to-end administrative support service to our construction projects.
**PROJECT PRESTART**
- Organise start of project meetings, taking and distributing minutes
- Set up new construction projects on the company server, regularly monitoring to maintain orderliness
- Set up projects with O&M documentation management service, Cognica
- Compile and distribute site safety packs, information and notices and laminating site signage
**PROJECT CONSTRUCTION PHASE**
- Attend Project Review Meetings, taking and writing up minutes and distributing
- Manage drawings on the company server as per process, saving, filing and registering on the tracker and issuing to subcontractors
- Copy and fold drawings as required
- Conduct regular on-site drawing audits
- Send out NDA requests as per the NDA process, tracking responses and updating tracker accordingly
- File AI documents on the company server
- Update O&M documentation management service, Cognica, with relevant information throughout the duration of the project
**END OF PROJECT**
- Set up End of Project Review meeting, sending out EOPR template for completion by the project team
- Assist with the closing of O&M documentation with Cognica, prompting project teams to review and approve documents as necessary
- Archive RAMS, COSHH and site inductions
**OTHER DUTIES**
- Respond to main switchboard incoming calls and direct calls quickly and efficiently, transferring to relevant departments and ensuring any messages are relayed in a timely manner
- Provide administrative and diary management support as required
- Contribute toward the organisation and planning of internal and external events for employees, project teams and other special occasions
**ESSENTIAL SKILLS AND EXPERIENCE**
- Written excellence - spelling and grammar
- Excellent attention to detail and accuracy
- Clean driving licence with own transport for limited travel in the South of England
**WORKING HOURS**
- 39 Hours per week
- Working 08:00 to 17:00 Monday to Thursday and 08:00 to 16:00pm on Fridays, with a 1-hour unpaid break each day
