**Title**:Bid Coordinator

**Division**:Sales & Marketing
**Location**: RLB Leeds or Sheffield Office

**Working Arrangement**: Hybrid - 3 days minimum in Office.
**Reporting to**:Operations Manager

This exciting role forms part of the Yorkshire support team. The purpose of this role is to work with the regional leadership in the delivery of market-leading bids aligned to the regions bid strategy and over-arching UK & Europe strategy. It is a varied and interesting role which offers an opportunity to learn about and work across all aspects of bidding.

You will manage and contribute to activity across the bid lifecycle - including early positioning, bid responses, bid templates, and presentation materials.

The role involves a variety of day-to-day activity critical to supporting and adding value across a range of work-winning areas, in line with RLB’s best practice approach to bidding and pitching to win, develop and retain work with new and existing clients.

**Key Responsibilities**:
With ownership and accountability developing over time, primary responsibilities are to support and contribute to activities spanning coordination and administration across a wide range of bid activities. This includes for example, document management, data and knowledge management, portal and submission management, mailbox monitoring, arranging meetings and reporting.
- Support with opportunity identification and distribution
- Registration and maintenance of accounts for online bid portals
- Management of bid accreditations
- Monitoring incoming bid information and communications, distributing to team members and internal stakeholders
- Support with the production of bids across different sectors, services, regions and across teams
- Coordinator support to the Bid Managers throughout the bid lifecycle including:

- Downloading tender documents
- Supporting the end-to-end production and delivery of some bids
- Arranging bid kick-off meetings and regular progress and review meetings
- Assisting with preparation of kick-off documents
- Coordinating and completing Selection Questionnaires (SQ) and Requests for Information (RFI)
- Disseminating and communicating client tender clarifications
- Populating bid templates
- Supporting the production of presentation materials
- Sourcing imagery to create visually impactful bids and storing these in the B.I.D Library
- Support with recording and sharing lessons learnt and best practice
- Liaison with the wider business: Collaborating with wider business units including members of the Marketing & Sales team, Legal, Finance and HR to source information, content and approvals.

**Person specification and key skills requirements**:

- Success in this position will require a dynamic individual with high energy and motivation
- A self-starter with a can-do attitude, with a thirst for knowledge and learning
- Teamwork, project management skills and the ability to manage multiple tasks simultaneously is essential
- A collaborative working style and an ability to operate within in a fast-paced environment
- Experience in the construction industry would be a distinct advantage and previous experience of bid production in the construction industry essential
- MS skills - Word, PowerPoint are critical
- InDesign skills would be a distinct advantage
- Attention to detail essential with excellent writing skills
- Flexibility and open to changing priorities
