Bid Administrator - Bristol, Cardiff, Edinburgh, Glasgow, London, Manchester or Sheffield

**About the role**:
This is an opportunity to join our Bid Support Team, supporting and coordinating the preparation of bids. It will involve working across the business with our technical teams of planners, landscape architects, landscape planners, ecologists and visualisation consultants on an exciting range of projects across the UK.

The Bid Administrator will carry out a wide variety of tasks which would include the following:

- **Prime responsibilities**_
- Administrative and coordinated support to the bidding team within LUC.
- Monitoring and distribution of potential new opportunities; downloading tender documents and keeping accurate records of these on LUC’s internal system.
- Managing and continuously updating the internal bid library.
- **Opportunity and tender support**_
- Provide general administrative support in creating and maintaining opportunity and tender records on LUC’s quality management system (QMS), update them as appropriate.
- Assist with creation of tender/bid documents, including completion of non-technical sections and standard questionnaires.
- When required, proofread and format the final submission documents.
- In time, submit professional tenders through specific tendering portals, when required.
- **Bidding team support**_
- Maintain the internal bid library of technical responses, standard responses, certifications and other relevant documents. Ensure all materials remain continuously updated.
- Maintain accurate records on LUC’s internal systems for anything related to opportunities and tenders.
- Monitor the bidding team inboxes and promptly deal with any correspondence.
- Maintain all tendering and response portals with up-to-date company information and documents.
- Generate reports using LUC’s QMS system.
- Assist with arranging meetings for the bid support team.
- **Other general support**_
- Occasionally support the office team in covering the local reception.
- Occasionally assist the marketing team with local events.

Other duties as requested by your manager and commensurate with your role and responsibilities.

This role will be based in LUC’s offices in Bristol, Cardiff, Edinburgh, Glasgow, London, Manchester or Sheffield. We work in a hybrid model and the role includes an expectation that successful applicants will be in the office a minimum of two days per week. If you are keen to be full time office-based we can discuss this option with you during the recruitment process. There will also be travel required to visit sites, client offices and other office locations.

A full-time role would be based on 37.5 hours Monday to Friday. However, LUC has a strong track record in flexible working and we have been recognised for our flexible working culture, so we are happy to discuss a range of flexible working options for this role including part time hours (minimum 30 hours per week) if desired.

**Salary**: £22,000 - £23,000 per annum FTE (Dependant on experience)

**Experience and qualifications**
- **Essential**_
- Prior experience in a support role or an understanding of general administrative environment and what it entails.
- Good working knowledge of MS Office packages, especially Word, Excel and Outlook.
- Organised and flexible to manage multiple tasks and challenges in parallel.
- Ability to prioritise and effectively manage own workload to meet tight deadlines.
- Ability to work well under pressure while delivering high quality work in a fast-paced environment with a positive attitude.
- Strong communication skills, both verbally and in writing.
- Good interpersonal skills - ability to confidentially build relationships with both internal and external people at different levels.
- Good eye for detail, high level of accuracy in completing paperwork, and can provide a basic level of proofreading in English.
- **Desirable**_
- Experience of using Adobe packages, PowerPoint, MS Teams, Intranet or document management systems (training will be provided).
- Experience on a reception desk would be helpful but not essential.
- Experience of working within an ISO Management Systems environment would be advantageous.
- An interest in the geography and environment or experience
