**Hours**:Full time (37.5 hours per week)

**Hourly rate**: £10.56

**Overview**

The Patient Booking Administrator will ensure the effective management of the whole patient pathway within the remit of Bespoke Healthcare. The prime responsibility will be to ensure that referral and booking management is undertaken in accordance with both company policy and NHS guidelines, and to ensure adequate clinic slots are available at all times.

**Governance**
- The Patient Booking Administrator reports to the Clinic Coordinator who in turn reports to the Business Lead
- The Patient Booking Administrator is responsible for operating within the limits of the policies and procedures of Bespoke Healthcare Limited.

**Skills and experience**
- Experience in appointment bookings - ideally in a healthcare environment.
- Knowledge of patient administration systems desirable but not essential as training will be given.
- Strong organisational skills and a systematic approach to work with care taken over detail and due regard to confidentiality.
- Able to work independently and act on own initiative.
- Experience of working within a customer focused environment.
- Experience of staff line management is an advantage.
- Self-motivated and resourceful, with the proven ability to multi-task and operate successfully under tight deadlines and time pressures
- Enjoys a fast pace, dynamic, challenging and team-orientated work environment
- Spoken and written fluently in English
- Computer literate in MS Office e.g. Word, Excel and other window-based programs
- Strong writing, listening and speaking communication skills
- Good interpersonal and teamwork skills
- Experience working in office environment and supporting a team

**Qualifications**
- ECDL qualification or equivalent desirable but not essential.
- Business management qualification desirable but not essential.

**Responsibilities**

1. Responsible for the efficient and effective management of day to day responsibilities within the office, including:

- Clinic slot and referral management,
- Timely booking of patient appointments,
- Management of clinic & patient appointment cancellations,
- Responsive dealing with client and patient queries,
- Efficient turnaround of clinical reports,
- Maintenance of the patient management system (PMS).

2. Effective liaison with client representatives e.g. NHS Trusts, independent hospitals, solicitors etc. Ensuring good working relationships are maintained at all times.

3. Ensure all aspects of the patient journey with Bespoke Healthcare are accurately and completely recorded including patient demographics, patient type, appointment history, clinical reports/outcomes.

4. Ensure adequate clinic capacity is available to meet obligations of all client contracts (in accordance with individual contract procedures)

5. Ensure that all relevant KPI data is returned to the relevant NHS Contracts Department in an accurate and timely manner.

6. Undertake quarterly contract review reports and performance monitoring of KPI’s.

7. Ensure all equipment annual maintenance/service contracts are renewed when required.

8. Ensure adequate stock of stationery, clinical consumables etc.

9. Maintain excellent working relationships with all clients.

10. Ensure the Clinic Coordinator is kept informed of all issues.

11. Work with the management to ensure all policies and procedures are appropriately maintained and adhered to at all times
