ASSISTANT TO THE MANAGING DIRECTOR

Main Duties:
Complete responsibility for the Management of the Property Portfolio.

Management of the Directors Diary and Central company diary. Ensuring the accurate recording of all future tenancy renewal dates with full occupation and maximum revenue.

Assisting the Director with acquisitions, building relationships with Finance Partners, building company profile. Focusing on Document Control, attending meetings at all levels, diligent note taking and distribution of information to the relevant parties.

Rental Properties.

**Keeping up to date with latest legislation to ensure lawful letting**
Management of Insurance Policies.
**Arranging Local Authority Property Licences**
Compiling/updating/checking/saving tenancy agreements.
**Ensuring all credit check reports are in for each tenant.**
Registering deposits, issuing paperwork and ensuring their signed and returned
**Arranging inventory check in/out reports.**
Dealing with utility companies, councils, ensuring that meter readings are taken and reported to the relevant supplier or Local Authority regarding Council Tax.
**Ensuring all paper & electronic files are kept up to date.**
Ensuring tenant/landlord compliance with contractual obligations
**Managing holiday properties both in England and abroad.**

Developments

**Assisting the Managing Director with the assessment of developments - assessing units and getting valid and concise comparable values.**
Liaising with other members of the Professional Team.
**Assisting in sending the council all documents, to obtain relevant licenses, etc.**
Keeping an up-to-date record of all drawings and documents received/document control
**Ensuring all electronic & paper files are kept up to date for each property.**
Scheduling & attending site meetings - taking notes and distributing to relevant people.
Keeping a list of contacts/project directory and understanding who is related to which project.
**Liaising with staff and external contacts**
Dealing with utility companies regarding connections
**Compiling & sending purchase orders**
Obtaining all relevant certificates & manuals to produce a Home Information Pack
**Dealing with the requirements of the Project Monitoring Surveyor.**
Working with the Marketing Team to launch developments

General Administration Duties

**Organising & maintaining the Directors & Company diary**
Word processing - creating, editing & printing documents
**Audio & copy typing**
**Meeting & greeting visitors at all levels**
Creating & maintaining filing systems - both paper & electronic
**Using Microsoft Office programmes to produce correspondence, documents, records, spreadsheets, databases, etc.**
Devising & maintaining office systems
**Assisting marketing team in maintaining company websites.**
**Sorting & organising incoming post & sending out post**
Archiving paperwork & ensuring an up to date record is kept
**Constantly updating the Key management**
Ensuring all company insurance policies are up to date
**Scheduling & attending meetings - taking notes and distributing to relevant people**
Updating the office and tenancy handbook

**Job Types**: Full-time, Permanent

**Salary**: £32,000.00-£38,000.00 per year
