Business Support Officer

**Responsible to**: Centre Development Manager
**Role Purpose**: The Business Support Officer will play a critical role in the day to smooth running of Hirst Welfare Centre by supporting the Centre Development Manager in a range operational duties.
**Hours per week**: 37
Main Duties and Responsibilities:
1. Financial Administration
Assist the Centre Development Manager with day to day financial management, including but not limited to:
- Establishing a new electronic financial accounting system, including establishment of financial procedures
- Maintaining the electronic financial system, including
- Preparing month-end statements
- Checking purchase orders against delivery notes
- Assisting in the preparation of payment of purchase invoices
- Inputting purchase invoices onto the finance system
- Allocating payments in the finance system
- Petty cash administration and reconciliation
- Assisting in preparation for payment runs
- Setting up and maintaining finance files
- Producing month budget reports from the accountancy system
- Provide monthly income and expenditure reports to support centre supervisors to understand the financial performance of individuals areas of the charities operations
- Support the completion of stock takes on a quarterly basis
2. Reporting Requirements
- Implement the Organisations Outcome Measurement System - to collect information to demonstrate the impact of the centre's work
- Implement monitoring procedures for any grant agreements, including providing performance & financial information for grant monitoring reports
- Implement procedures for quality assurance systems
- Develop & Implement the organisations Compliments, Suggestions and Complaints procedure, resolving complaints or escalating where appropriate
3. Centre Operations
- Oversee the centre's electronic booking system, resolving issues, confirming booking requirements with users, liaising with centre staff to ensure they are aware of bookings and issuing invoices
- Oversee communications & marketing, including social media, E-newsletters and communications with centre users To act as a Display Screen Equipment (DSE) Assessor, completing assessment for relevant staff in line with the organisations Health & Safety Policy.
- To provide general administrative support for the implementation of the organisations health and safety policy & procedures.
- To provide general support for business continuity and risk management.
- Provide general administrative support, including preparing letters, documents, financial statements and reports.
- Maintaining filing systems in accordance with the organisation's systems and procedures.
- relevant member of staff.
- Open, record and distribute incoming mail, record and prepare outgoing mail.
- Completing relevant orders for centre supplies.
4. Other Duties
Ensure that all work conforms to the organisation's systems, policies and procedures.
- Assist in the smooth running of the organisation by providing back-up and emergency cover for other parts of the service as required.
- Work cooperatively with colleagues to encourage good teamwork across the organisation.
- Prepare for and attend relevant supervision sessions / staff meetings / trustee board meetings as required.
- Adhere to the organisation’s information assurance policies and procedures and report any breaches or incidents of non-compliance.
- Abide by health and safety guidelines and share responsibility for own safety and that of colleagues.
- Undertake any other duties that are consistent with the level of the post and ensure the effective delivery and development of the organisation’s service.
**Salary**: From £24,000.00 per year
