**Job description**
- The Grove Medical Group is a large GP practice in Gosforth with approximately 12,500 patients. We are looking to employ a new Medical Administrator to work 28 hours a week over 4 days to help provide support to our patients and clinicians. This role would suit someone who has a background of working in an admin role and is competent in using all Microsoft packages especially Microsoft Word and ideally someone who has previously worked in an admin role within a care service like a GP surgery.

**Working Hours**

Tuesdays and Wednesdays 8.30 to 5.00/ Thursday and Fridays 11.00 to 5.00

**Main duties will involve**:
To provide an effective and efficient secretarial and administration service in support of all aspects of the Grove Medical Group business.
- Type referral letters as dictated by doctors
- Type administrative letters, reports as required
- Answer patient telephone enquiries in a prompt, efficient and helpful manner
- Liaise with hospitals, social services, consultants, etc regarding patient care
- Refer patients via the e-referral system and oversee progress of those referrals
- Oversee the advice and guidance process
- Oversee the Individual Funding Request process
- Action clinical tasks
- Update Palliative Care register in house and on Adastra
- Workflow incoming mail
- Process insurance/medical reports

**KNOWLEDGE TRAINING AND EXPERIENCE**
- The post holder will ensure that all statutory requirements are met.
- Demonstrate a high level of communication skills in dealing effectively with patients, carers and other staff members.
- The post holder will demonstrate good numeracy and literacy skills.
- The ability to work effectively without supervision within a delegated area of work.
- To understand the requirements of maintaining confidentiality.
- To demonstrate a high level of accuracy, presentation of information and attention to detail.
- To employ a flexible approach to working with the ability to prioritise and organise own time management.
- To continue with own personal and professional development.

**COMMUNICATION**
- To ensure effective communication with patients, carers and staff.
- Deals competently with telephone enquiries and is able to resolve the enquiry directly or ensure the efficient transfer to an appropriate person ensuring that prompt action is taken.
- To competently exchange information verbally electronically and in writing with patients, visitors and staff including the wider multi-disciplinary teams.
- Ensure the timely distribution of referrals and requests, patient appointments and correspondence.
- To liaise with partner healthcare organisations and others as required.

**ANALYTICAL AND JUDGEMENT SKILLS**
- Exercise judgement in response to enquiries concerning any aspect of patient enquiry, appointments, clinical reports and requests for information.
- Analyse clinical data accurately monitor, record and action.
- Refer issues beyond scope of own responsibility to a senior member of staff.

**PLANNING AND ORGANISATION**
- To take responsibility for the planning of own work.
- To take responsibility for delegated areas, to include appointment systems and the recording of specific data sets.
- To prioritise own workload.
- To act as a point of contact for the GP Partners and support them with their communication to patients and other professionals.

**Job Type**: Part-time
Part-time hours: 28 per week

**Salary**: £21,730.00-£23,177.00 per year
