Administrator / Team Administration Coordinator who has a strong administrative background and experience using Microsoft Office (in particular Microsoft Excel) with excellent communication, organisational and time-management skills is required for an organisation that supports the UK TV, Film, VFX, Animation and the Games Industry.

JOB OVERVIEW

We have a fantastic new job opportunity for an Administrator / Team Administration Coordinator who has a strong administrative background and experience using Microsoft Office (in particular Microsoft Excel) with excellent communication, organisational and time-management skills.

Working as an Administrator / Team Administration Coordinator will lead on the coordination and delivery of High-End TV Projects under the direction of the Progression Manager, which includes leading on promotional activity, gathering required reporting information and processing and coordinating all related paperwork.

As an Administrator / Team Administration Coordinator you will also support the Engagement and Projects Manager on the development and growth of the High-End TV Industry Professional Pool resource, including responding to general enquiries and providing additional coordination support for High-End TV activities such as First Break,

Trainee Finder and national and regional industry events.

DUTIES

Your duties as an Administrator / Team Administration Coordinator will include:
Log all enquiries and participants on internal tracking documents and systems

Use Grants software package BBGM to generate contracts and offer letters

Ensure all contracts and reporting documentations is received

Track all stages of the contracting paperwork, keeping accurate records and following up the final delivery

Support the marketing and promotion on social media groups such as Facebook and wider marketing outlets - ensure pages are regularly updated

Coordinate the brokering of support and advice between participants and members of the Professional Pool to ensure suitable matches are made

Keep all contact information up to date

Process invoices efficiently, reviewing for accuracy

Data management, reporting and processing

Run financial, participant and activity reports as required

Work with the other departments including finance teams to ensure all funds are allocated to the correct budget

Deal with production enquiries in a friendly, efficient, and timely manner

Work alongside and support the wider coordinator team

Update relevant contact databases (Excel), availability spreadsheets, Teams, Power BI and CRM system, HubSpot

Attend and support at high-end TV events and set visits as required

CANDIDATE REQUIREMENTS

Strong administration skills including data management in Excel

Ability to work with a wide range of people from trainees to Heads of Production and understand their needs and priorities

Skills across BBGM data management system - training will be given
